Job Description
Basic Function: Provides planning and coordination support for the annual Tradeshow calendar to ensure strategic participation that increases ROI and lead generation. Assists in executing branding and awareness projects and campaigns. Acts as a “generalist” supporting a variety of marketing and administrative functions.
Significant Responsibilities:
General Responsibilities:
- Coordinate the sample request process, ensure samples are cut timely and shipped as needed; track sample stock and requests in Excel.
- Organize and maintain onsite stock of marketing collateral to provide in a timely and efficient manner.
- Perform administrative functions that support marketing efforts, projects, and other departmental commitments, including bank deposits.
- Monitors the effective use of lead generation and customer engagement tools, especially HubSpot’s successful use for increased customer reach
- Collect critical intelligence for Marketing’s use to include competitor branding, products, projects; market industry research; general trends in the cable and connectivity industry.
- Builds trust, values others, communicates effectively, drives execution, fosters innovation, focuses on the customer, collaborates with others, solves problems creatively and demonstrates high integrity.
- Manages projects effectively, understands the variables that could impact completion and proactively mitigates such impact in order to meet deadlines.
- Effectively implements/continues the use of social media tools
Tradeshow Coordinator:
- Develops, with support from Marketing Manager and associated sales members, a Tradeshow Planning Package for all participants:
- Defines the branding statements for the show,
- Identifies the product set for display and focus in the booth,
- Booth design and set up,
- Competitor analysis – prepare attendees for naming OCC benefits against competitor products based on pre-show research,
- Customer review – targets for the show.
- Serves as primary contact for internal and external contacts involved with a show.
- Handles administrative functions and logistics:
- Creates AFEs and tracks expenses and completes expense reports in a timely and accurate manner
- Show documentation, product requests, booth planning, collateral oversight, shipping,
- Lead retrieval;
- Manages tradeshow inventory: maintains a current list of inventory locations, sets ordering/packing/shipping schedule for shows, and coordinates to/from/between show travel.
- Coordinates a post-show review and ensures a Tradeshow Executive Summary is completed.
- Attends 4-7 tradeshows per year to direct/complete setup and tear down.
- Monitors the effective use of lead generation and customer engagement tools, especially HubSpot’s successful use for increased customer reach
- Effectively implements/continues the use of social media tools
Branding Administrator:
- Provides support to the Marketing Manager on setting communications calendar;
- Executes branding activity as assigned:
- Social media postings
- Distributor marketing program activity
- Manages print collateral: oversees print orders, and assists in collateral development and distribution.
- Supports digital collateral such as webinars, and email campaigns.
Lead Generation Partner:
- Supports lead-generating activities within the marketing team (email campaigns, small events, webinars),
- Understands and manages HubSpot,
- Ensures tradeshow, event, and website leads are tracked appropriately and provided to the field.
Coordinate and maintain marketing vendor relationships (primarily related to trade shows and customer programs) for ordering supplies and services, arranging for payments and keeping track of marketing expenditures.
Promotes OCC’s service excellence and quality. Provides excellent service to customers; builds strong relationships and team cohesiveness; focuses on quality and positive solutions; communicates respectfully; demonstrates compassion and understanding in response to customer requests/needs.

Job Scope:
- Organizational responsibility: works with outside and inside sales and business development; supports marketing team; administrative functions for marketing and other departments
- Communication: daily communication with all levels of internal employees, vendors, customers
- Confidentiality: protects company proprietary information
- Financial responsibility: may assist with mail and bank deposits in accordance with policy; assists with tracking invoices against planned budget; commits OCC to expenses responsibly and with appropriate approvals
- Judgment: conducts all activities in accordance with safety procedures. Utilizes and follows quality policy and operating procedures to insure the quality and consistency of the job being performed
- Compliance: follows company guidelines/policies as appropriate for compliance with Sarbanes-Oxley or other regulatory requirements
- Travel: able to travel for up to one week at a time, 4-7 times per year (Tradeshows)
- Communication: in-depth and strategic communications with all levels of leadership, regularly including the CEO
- Confidentiality: High level of confidentiality required regarding corporate initiatives, customer matters and employee issues.
- Financial: Operate as a fiscally responsible team member by maintaining reasonable expenses; must evaluate the potential returns on investment before requesting purchases. Respond to the finance team’s request for information in a timely and accurate manner.
- Judgment: Use marketing expertise to make effective decisions to promote rather than hinder business success and growth
- Compliance: Responsible for SOX compliance as it pertains to the teams work processes; responsible for understanding, following and administering corporate policies. Complies with other application regulations
- Travel: Regular travel (up to 20/30%) for trade shows and to other OCC locations
Minimum Qualifications Required:
Education: Bachelor’s degree preferred but Associates degree or HS Diploma combined with 3+years of experience in marketing (including tradeshow experience) or related position
Experience: 2-4 years of experience in a marketing and/or event/trade show role preferred
Licensure, Certification, and/or Registration: None
Other Minimum Qualifications: Effective interpersonal communication and teamwork skills.
Essential Skills, Abilities & Knowledge:
- Able to travel
- Project management skills (exposure to formal PMP practices preferred)
- Proficiency in Microsoft Office required.
- Ability to read and follow basic instructions, as well as understand and implement quality procedures.
- Math and handwriting skills required and the ability to correctly complete all budgeting/planning documentation.
- Ability to work in a team environment with minimal supervision.
- Present close attention to detail with the ability to complete assignments accurately.
- Recognize and help resolve problems in areas of expertise.
- General Understanding of Adobe Creative Cloud including InDesign, and Photoshop, preferred.
Working Conditions: While performing this job, the employee is sometimes required to stand and must be reasonably ambulatory. The employee must regularly lift and/or move up to fifty (50) pounds. This job requires sight sufficient for significant reading and writing; this job requires the ability to determine color accurately. This work also requires an individual with sufficient hearing to handle phone calls and to communicate with others.
