Job Description
Must have construction background. The Marketing/Accounting/Administrative Assistant will support various facets of office administration, marketing proposal assembly, and accounting functions. This role requires a high level of detail orientation, organization, and the ability to manage multiple tasks efficiently. You will collaborate across departments, ensuring smooth operations and helping maintain accurate records and documentation.
Reports to: CFO and President and CEO
Essential Duties and Responsibilities
Front Office Administration
- Schedule / organize meetings, arrange catering, and make travel arrangements
- Prepare correspondence and documents using MS Word.
- Perform other clerical duties to include but not limited to photocopying, faxing, mailing, and filing.
- Order supplies and maintain inventory
- Maintain office equipment and refresh paper and toner supplies
- Preparing and creating Binders for Projects/Bids
- Preparing documents/binders/bound notebooks for Bid Submissions
- Other projects as assigned.
Marketing
- Collaborative and Independent work in proposal assembly and development
- Deliver proposals to prospective clients
- Assemble/Manage construction project progress photographs
- Ensure that project contracts and bids are complete and filed on time
- Preparation of Bid manuals with extreme accuracy and attention to detail
- Planning and attending networking events, trade shows, ceremonies, etc.
- Assist in the development and assembly of marketing proposals for Request for Proposals Submissions, Request for Qualification submissions, Qualification statement Presentations to clients and customers, and Competitive Sealed Proposal submissions.
- Create and map out tasks for marketing campaigns, ensuring consistent and engaging content strategies.
- Assist in developing community outreach strategies and expanding corporate visibility.
- Maintain and update the company website to ensure it reflects current project updates, news, and marketing initiatives.
Accounting Assistant
- Running reports for Project analysis
- Verifying Pay Apps from Subs are entered/posted to the project
- Prepare Waivers (Conditional/Unconditional)
- Filing
- Other duties as assigned
Qualifications
- Proficient in computer applications, including Microsoft Office Software and other required administrative software for Project delivery-Adobe Professional, ERP Software
- Demonstrated interpersonal skills
- Able to function successfully in a fast paced, team atmosphere
- Detail oriented and strong organizational skills required.
- Excellent problem-solving skills and capacity to identify and resolve problems in a timely manner
- Strong written, and verbal communication skills
- Ability to maintain a high degree of confidentiality and exercise discretion and appropriate judgment in handling sensitive material
