OVERVIEW:
SASSO Agency is looking to add an organized and detail-oriented Media Coordinator to our team. As a Media Coordinator, you will be counted on as an important contributor to the success of our agency, supporting our media department as well as working with all other agency departments. The Media Coordinator is responsible for ensuring the agency is meeting our clients’ media needs and working to fulfill all key functions of the media team. You will share the media team’s goal of ensuring we are delivering success for our clients.
You will be constantly solving problems, working with team members, and communicating with vendors/reps to drive projects to completion and accomplish goals. You will be expected to work collaboratively in a group setting as well as individually to hit deadlines and produce work that is on-point with our goals and objectives.

Requirements:
- Background in advertising, marketing, and communications
- Bachelor’s degree in mass communications, business administration, or marketing preferred
- Excellent written and oral communication skills
- Commitment to working in a team-based environment
- A keen attention to detail and budgetary restraints
- Awareness of creative processes and techniques – including digital platforms
- Strong strategic, analytical, and organizational skills
- A proactive attitude, and a willingness to learn and take initiative
- Time-management skills for logging hours for tasks
- Proficient use of Microsoft Office products (Word, Excel, PowerPoint, etc.)
- Experience in media buying, researching, and planning software such as Strata, Nielsen, Arbitron, and others is a plus

ROLE RESPONSIBILITIES
Media Team Support:
- Assist with media department research including demographics, media usage, psychographics, buying patterns, etc. to help develop strategies for media plans
- Help compile and update media decks, campaign reports, and presentations as needed
- Assist buyers with sending out Orders and ensure all Insertions Orders have been confirmed by reps and signed copies are on file
- Send creative and traffic instructions to vendors
- Request spot times and confirm buys with reps and vendors at the start of each flight
- Assist with Added Value requests and tracking of AV for client buys
- Maintain Proof of Performance files for Print and Outdoor
- Assist buyers as needed with updates to flowcharts
- Assist buyers with sending out RFPs and entering in avails in Strata
- Maintain Digital Tracking reports for all Interactive accounts
- Responsible for contacting vendors for missing invoices
- Responsible for reconciling invoices (printing, downloading/inputting, and matching)
- Work with accounting department to resolve billing discrepancies
- Assist with invoicing media clients
- Assist with other client invoicing needs
- Assist with requesting and tracking Under-delivery Weight
- Maintain and update vendor contact list
- Take and send recap notes from conference calls
- Responsible for Monthly Co-op processing
- Fulfill additional tasks and responsibilities as needed to support the media team
Systems & Processes:
- Adhere to agency systems and processes to help ensure optimum workflow
- Maintain clear and timely communication with internal teams and outside reps/vendors
- Work in the appropriate agency software and cloud-based systems for project management, communication, and file sharing including Workamajig, Dropbox, Harvest, Slack, and others
- Utilize a variety of programs including the Microsoft Office Suite (Excel, PowerPoint, Word, Outlook), Google Suite (Sheets, Docs, etc.), Keynote, and others as required
- Develop working knowledge of appropriate media buying, researching, and planning software such as Strata, Nielsen, Arbitron, and others as well as various platforms and software for digital media buying
- Proofread media decks, advertising materials, client communication, etc. as needed to ensure quality
EXPECTATIONS:
- Support the goals of SASSO Agency’s media department, working both individually and in a team-based atmosphere
- Maintain prompt and clear communication with internal teams and outside reps/vendors
- Build and maintain strong working relationships with reps and vendors
- Organize and manage invoices for agency clients and work with the accounting department to reconcile invoices and payments as needed
- The role requires flexibility and ability to navigate ambiguity and deadlines under pressure and conflicting requests
