Department Summary

The Music Library is the central facility for music study and research at UCLA, and one of the ten largest academic music libraries in North America. General subject areas include western classical music, jazz, popular music, and world music history, criticism, education, and performance. Staffing currently includes 2.0 FTE professional librarian, 3.0 FTE support staff, and student assistants. The collection contains an increasing number of electronic resources, 190,000 volumes of books, bound periodicals, and scores, 189,000 disc and tape recordings, and more than 1,600 video recordings. Music archival collections are held in the Performing Arts Special Collections. The Music Library provides reference assistance in all of its subject areas; provides instructional services to faculty, graduate students, and undergraduates; and develops subject guides and other web and print resources in support of library instruction. The library's Media Room contains audio playback and computer workstations that provide access to the web, interactive multimedia products, and music notation software.


Position Summary

Reporting to the Manager for Arts, Music, and Powell Libraries, the Music Access Services Lead is responsible for supervision of the day-to-day Access Services operations of the Music Library, ensuring that the library is open and staffed during scheduled hours. Manages circulation services, stacks maintenance, and facilities; provides first-line communication with the Herb Alpert School of Music, the department of Musicology, faculty, staff, and students, and with the general public. Provides leadership and vision for the Music Library Access Services department, and works with other Unified Access Services leads and managers to continuously analyze the effectiveness of current policies and workflows, and suggests improvements, changes and/or refinements to improve service to library patrons. Supervises student assistants in performing Access Services duties. Collaborates in strategic and day-to-day planning and decision-making for the unit. The Music Access Services Lead also oversees the Music Library's facilities, engages in collection preservation, orders and maintains supplies, and performs other routine administrative duties as needed.

Qualifications

  1. Experience with the various operations of a large, high volume circulation operation in an academic library, including billing, reserves, stacks maintenance and public services. (Required)
  2. Demonstrated experience supervising & training staff to perform tasks, take appropriate action to improve performance, communicate expectations & delegate work based on workloads & staff capabilities. (Required)
  3. Demonstrated experience creating & implementing projects & priorities for supervised staff, coordinate & plan daily workflows, evaluate & update organizational structures as needed for effectiveness. (Preferred)
  4. Experience with Library Service Platforms, such as Ex Libris’s Alma/Primo, including the ability to use circulation, interlibrary loan, and reserves modules and to train others. (Preferred)
  5. Skill in short- and long-term planning to meet workflow demands for the department, with the ability to balance operational needs and priorities with budget considerations. (Required)
  6. Ability to make immediate decisions based on situational and policy/procedural considerations (i.e. need for flexibility, sensitivity to maintain good public relations, and the ability to analyze long-term impact of policy changes to various library user groups). (Required)
  7. Interpersonal skills to initiate & maintain cooperative working relationships w/co-workers, supvrs & managers. Ability to work harmoniously & as a team player, thrive in a team-based environment, & skill in fostering teamwork. Problem solving skills to diplomatically resolve disputes & discrepancies (Required)
  8. Communication skills sufficient to effectively represent Powell access services in various situations such as councils and committees, and to students and faculty with regards to issues such as billing, reserves, and borrowing-related privileges and problem resolution. (Required)
  9. Organizational and analytical skills to balance multiple, and sometimes conflicting, priorities, lead complex projects, and perform efficiently and courteously amidst frequent distractions and interruptions. (Required)
  10. Ability to exchange ideas and information with others to formulate, alter and improve departmental policies and procedures. (Required)
  11. Writing skills sufficient to prepare emails, blog posts, web pages, job analysis forms, annual and special reports, business letters, disciplinary/corrective actions, and other correspondences that are clear, concise and logical. (Required)
  12. Mathematical skills to perform tasks of budget and statistical requirements of the job, including the ability to analyze, integrate and utilize a large amount of data to prepare accurate reports for departmental and library-wide groups and administration. (Required)
  13. Ability to embrace & utilize new & emerging technologies. Skill in responding quickly to tech challenges. Awareness of existing & emerging social media trends, the audiences who use them, & other protocols for use within the org. to allow for effective and timely communication to its stakeholders. (Required)
  14. Knowledge of staff personnel policies as they apply to conducting interviews, making reference checks, hiring decisions, promotions and reclassifications, corrective action and termination for casual/ restricted and career staff. (Preferred)
  15. Working knowledge of UC and UCLA policies, procedures, administration, and operations, particularly in areas of access services, financial management, human resources, budget, accounting, and purchasing. General knowledge of UCLA facilities and safety functions and policies and procedures. (Preferred)
