Description:
Role Overview. The Associate Producer will assist Video Producers in all phases of video production, including pre-production, field production, and post-production. This role requires excellent organizational skills, creative insight, and strong communication abilities to ensure seamless coordination across teams and projects.
Responsibilities.
Here are some key responsibilities and tasks that an Associate Producer typically performs:
Project Development:
- Participate in creative brainstorming sessions with Video Producers, Creative Directors, Event Producers, and clients.
- Take thorough notes during meetings and ensure that information is effectively communicated and action items are followed up on.
Story Vetting:
- Schedule, coordinate, and conduct telephone or video interviews with potential subjects.
- Craft compelling story summaries and recommendations for Video Producers.
Travel Coordination:
- Organize domestic and international travel for production teams, including managing visa applications and booking accommodations.
Shoot Coordination:
- Assist Video Producers with the coordination and execution of video projects, including crew booking, location scouting, and scheduling.
- Coordinate with interviewees for scheduling and optimal approaches, as well as draft and distribute production guides.
- Manage the logistics of video shoots, including arranging talent, crew, and equipment, scouting locations, and creating detailed schedules.
- Oversee the day-to-day execution of video shoots alongside Video Producers.
- Oversee Production Assistants and Production Coordinators as needed in order to be most efficient in all aspects of shoot coordination.
Budget Management & Line Producing:
- Collaborate with producers to prepare and manage project budgets.
- Ensure that project scope aligns with the required budget, from small productions to large-scale shoots.
Contracting & Vendor Negotiations:
- Oversee independent contractor agreements and negotiate contracts for personnel, talent, and vendors under Video Producer supervision.
Post-Production Support:
- Ensure all production assets are transferred to post-production teams.
- Collaborate with Video Producers during post-production, providing feedback and ensuring the project aligns with the creative vision.
- Assist with gathering additional assets such as photos and videos, booking voice-over talent, and distributing final edits.
Additional Tasks:
- Proactively solve problems, multi-task across various projects, and maintain attention to detail.
- Manage production payments, review expense reports, and reconcile project transactions.
- Report on project progress and complete monthly project close-outs, including metrics.
- Maintain clear and consistent communication with all stakeholders.
Schedule/Travel
- Regular working hours are Monday through Friday, 9:00 am – 5:30 pm, with after-hours support as needed.
- Travel requirements are approximately 10%, with up to 25% during peak seasons (fall and spring). On-location shoots may require weekend work.
QualificationsExperience:
- Minimum 4 years of experience in video pre-production and field production.
- Experience in customer relationship management within video/film.
- Strong creative vision and storytelling ability.
- Experience coordinating travel for production teams.
- Ability to navigate expectations between talent, crew, and creative teams.
Skills:
- Excellent verbal and written communication, negotiation, and interpersonal skills.
- Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.
- Strong project management and organizational skills.
- Ability to manage multiple projects simultaneously.
Education:
- Bachelor’s degree or equivalent experience.
