Property Summary

ParcView Apartments is a 14 story apartment building with a total of 149 units. ParcView is located in Alexandria, VA in close proximity to Metro and across from walking and bike trails and nearby shops. The community is staffed by six full-time employees: a Community Manager, Assistant Community Manager, Maintenance Supervisor, Maintenance Technician and two Janitorial Techs.

Job Summary

The Assistant Community Manager provides administrative and managerial support to the residential community. The Assistant Community Manager also helps the on-site Community Manager to supervise and support other staff. The ideal candidate is a friendly, organized, efficient, and solution-oriented professional who can easily switch between administrative tasks, all while juggling incoming calls, appointments, and visits from residents and prospective residents.

Essential Functions

•Prepare apartment leases and lease renewal documents

•Conduct resident and prospective resident interviews

•Assist with developing maintenance work schedules

•Conduct site inspections of grounds, common areas and apartments

•Initiate background checks and application verifications for potential residents

•Perform move in/move out inspections

•Investigate and resolve resident complaints

•Maintain rent rolls, reconcile resident accounts and prepare vacancy reports

•Assist with apartment turnover procedures

•Assist with rent collection and collecting delinquent rents

•Prepare daily bank deposits

•Assist with preparation and delivery of all correspondence to residents (rent changes, terminations)

•Maintain positive and professional relationships with residents

•Ensure consistent application of property policies

•Assist with inventory of all equipment and supplies and issuing purchase orders

•Assist with maintaining vendor files

•Assist in submitting completed purchase orders and invoices for payment

•Assist with maintaining and updating waiting lists

•Prepare verification forms, Section 8 vouchers and adjustments, payment authorization forms

•Submit subsidy billings to appropriate agencies

•Assist with preparation of income certifications in accordance with IRS Code

•Maintain current knowledge of federal, state, and local housing authority regulations and requirements applicable to specific managed properties

•Train or guide the work of other team members on occasion

•Perform other duties as assigned

Requirements

•Proficient with Microsoft Office Suite

•Able to add, subtract, multiply and perform basic math calculations

•Proficient with property management software (we use Real Page OneSite)

•Professional and friendly demeanor, with the ability to communicate well in person, over the phone and in writing

•Able to work on several projects simultaneously, maintaining timeliness and accuracy

•Able to work independently and collaboratively, anticipate problems, and implement effective solutions

•Attention to detail

Required Education, Certifications/ Licenses, Related Experience

•High School Diploma or GED required

•Two years of property management or related experience

•Relevant certifications for property management and affordable housing. Examples include the LIHTC, HCCP or SHCM Certification as well as CAM and/or Apartment Residential Manager (ARM) certifications

•Bilingual preferred but not required (English and Spanish)

Physical Job Requirements

•Able to remain in a stationary (standing and seated) position more than half the time

•May need to move about the office(s) less than half the time

•Able to operate a motor vehicle

•May need to kneel, crawl, crouch down less than half the time

•Must be able to maneuver (lift, move, carry, slide, etc.) 15 - 40 pounds

•Able to operate equipment/machinery that requires the constant use of hands/fingers/wrists (ex.'s: typing, filing, etc.) more than half the time

•Able to spend more than half the time viewing computer monitors

Travel Requirements

This position may travel between site locations or run local errands up to 10% of the time.
