Role Overview:
The Account and Social Media Coordinator plays a vital role in supporting our agencys clients by managing client communications, coordinating project workflows, ensuring high-quality outputs, and providing social media management. This role requires excellent organizational and multitasking skills, a proactive approach to problem-solving, and a collaborative mindset to bridge departments for seamless project execution.
Key Responsibilities:
Account Coordination and Client Communication:
- Client Orders: Efficiently process incoming orders with the Traffic/ Project coordinator for new and ongoing projects, ensuring all details are accurately captured and tracked.
- Client Communication Touchpoints: Maintain proactive, weekly communication with clients via email, calls, and meetings to stay updated on project needs and provide ongoing updates.
- Project Scheduling and Coordination: Work with the Traffic Coordinator (TC) to schedule and review job orders, keeping projects on track and aligning with client expectations.
- Client Hours Tracking: Regularly review and monitor client hours to ensure they align with Master Service Agreement (MSA) terms.
- Documentation and Reporting: Take comprehensive notes during client meetings and Plan of Action (POA) calls, ensuring internal and client stakeholders have access to accurate records.
- Quality Control: Proofread and perform quality checks on final materials to meet high standards before client delivery.
- Customer Service: Address and resolve client concerns promptly, maintaining professionalism and a solutions-focused approach.
- CRM Maintenance: Update the Customer Relationship Management (CRM) system consistently to document all client interactions and activities.
Project Management and Cross-Department Coordination:
- Internal Liaison: Act as the primary link between clients and internal teams (creative, digital, cruise, web, and accounting), ensuring smooth information flow and alignment with client needs.
- Weekly or Monthly POA Meetings: Lead POA calls to discuss project progress, deliverables, and timelines, keeping all parties informed and aligned.
- Coordination with Traffic Coordinator: Collaborate with the TC to review project schedules, troubleshoot potential delays, and keep the workflow on track.
- Media and Production Support: Assist with preparing media proposals, printing, and design quotes, and web estimates; coordinate media placements, handling purchase orders, and ensure materials are proofed before distribution.
- Shipping Coordination: Organize shipping quotes, labels, and documentation for outgoing orders to meet client specifications.
- Cruise Department Support: Provide additional administrative and coordination support for cruise department initiatives.
Social Media Management:
- Content Calendar Development: Create and maintain a monthly social media calendar with topics, copy, and graphics for clients across platforms.
- Social Media Implementation: Handle day-to-day social media presence, from basic copywriting to graphic creation using tools like Canva, ensuring a cohesive brand message across Facebook, Twitter, Instagram, Pinterest, LinkedIn, and YouTube.
- Collaboration with Digital Strategy Team: Work with the digital team to enhance social media boosting and paid campaigns.
- Trend Monitoring: Stay informed about social media trends, tools, and best practices to keep client content fresh and relevant.
- Platform Maintenance: Collaborate with the production team to update social media tools, including sharing buttons and RSS feeds, to enhance engagement and functionality.
Ongoing Professional Development:
- Skills Development: Participate in LinkedIns Master Digital Marketing Course and regularly review foundational account management materials.
- Industry Knowledge: Stay updated on advertising trends, particularly within travel, tourism, and hospitality, to enhance client communication and service.
Daily Tasks Overview:
- Process Orders: Receive, process, and document project orders for clients.
- Client Communication: Engage in consistent communication with clients to foster strong relationships.
- Project Tracking: Ensure timelines are met by monitoring deliverables and coordinating with relevant teams.
- Client Hours Review: Check client hours weekly to maintain alignment with contractual agreements.
- Meeting Documentation: Record detailed notes during client meetings and POA calls for accurate follow-up.
- Quality Assurance: Conduct final reviews of materials before they are delivered to clients.
- CRM Updates: Log all client interactions to maintain current, comprehensive records.
- Department Liaison: Facilitate collaboration between internal teams, keeping client goals in focus.
- Issue Resolution: Address any client issues promptly to maintain satisfaction.
- Progress Reporting: Prepare reports to update both clients and internal teams on project status.
Qualifications:
- Experience in Account Coordination or similar role in an agency setting.
- Strong Communication Skills: Both written and verbal, with an ability to lead client calls and discussions.
- Attention to Detail: Especially for proofreading, project scheduling, and social media content creation.
- Proficiency in CRM Software and project management tools.
- Social media: Experience with platforms such as Facebook, Instagram, and LinkedIn, as well as tools like Canva.
- Ability to Multitask in a fast-paced environment and collaborate effectively across departments
