SUMMARY

The primary function of the Body Shop Service Writer is to transcribe repair orders in a timely and efficient manner.

EDUCATION and/or EXPERIENCE

  • High school diploma or general education degree (GED)
  • One to three years related experience and/or training; or equivalent combination of education and experience required


CERTIFICATES, LICENSES, REGISTRATIONS

  • Valid Driver's License required; must meet company insurability standards
  • Commercial Driver’s License preferred
  • PA Insurance Appraiser License preferred


ESSENTIAL DUTIES include the following. Other duties may be assigned.

  • Greet body shop customers, write repairs orders, coordinate with manager to schedule estimates and body work, provide estimates to customers and insurance companies in a timely manner.
  • Answer the body shop telephone to assist customers with their inquiries.
  • Listen to customers’ descriptions of vehicle problems and confirm with manager to determine possible work procedures and timelines.
  • Must have operational familiarity with body shop estimating software to produce formal estimates.
  • Work with Parts department to research and order parts needed for the repair, along with tracking for availability.
  • Open/Close repair orders in Decisive and Proceed as needed to communicate the customer’s complaint to the technician.
  • Ensure a clear understanding of the (DOP) and customer’s financial responsibility of the repair order.
  • Maintain satisfactory customer relations through expedient, courteous, and fair handling of all body shop customer complaints, including updating the customer weekly/daily on repair status.
  • Administer warranty and policy adjustments in the best interest of the customer, dealership, and the OEM.
  • Schedule alignments and advise customers when completed.
  • Check in and shelve parts.
  • Provide documented proof that the repair is warrantable using all available tools needed to obtain the information (i.e. WebCatÒ, SirÒ, Cat PowerNetÒ, etc.).
  • Enter warranty repair order into the Warranty Management Database System (according to their policies) prior to sending to Warranty Central for processing.
  • Edit the wording on the repair orders to concise, legible descriptions ensuring the customer understands the work that was performed on his/her vehicle.
  • Provide photo updates to the case, additional information for claims, and photos for warranty repairs when needed to clarify prior to sending to Warranty Central.
  • Handle customer complaints with integrity and poise and, when necessary, refer dissatisfied customers to the appropriate individuals for resolution.
  • Provide clerical assistance to parts and service departments (making phone calls, filing, etc.).
  • Provide additional assistance to other Service staff when needed.
  • Receive cash, checks, and credit card payments from customers and record amount received.
  • Adhere to and promote all existing health and safety policies in the workplace to reinforce the Hunter culture of a safe work environment.
