The Role

This position is responsible for supporting various marketing programs and initiatives within the Marketing and Communications team. Specifically, this role is responsible for all events such as corporate (internal/external), customer appreciation events, trade shows, and industry events. This position supports multiple brands across all business units for both B2B and B2C initiatives.

Event Marketing Campaigns
  • Invite and campaign management for all lines of business events, RSVPs, post event thanks you, landing pages etc.
  • Oversee planning and deployment of event invites, surveys, and post event analytics.
  • Work with automation team to oversee event journeys in Salesforce
  • work with CVENT platform to create event websites, sponsorship packages and digital event journey

Event Management, Planning and Execution
  • Organize all internal and external corporate events (professional associations, conference sponsorships, speaking engagements, golf tournaments, customer events, Town Halls, Holiday party etc.).
  • Overseeing event management and planning from concept to execution including facilitating the creation of event concept to developing a project/event plan, communicating with management and stakeholders, ensuring the plan is implemented on time and within budget.
  • Create event proposals and briefings and present to senior colleagues
  • Ensure event concept and print materials are on message.
  • Create of all visual elements and printed materials for the event.
  • Oversee, manage, supervise and train event staff and volunteers as required.
  • Manage marketing and communications event plan calendar for all brands and lines of business.
  • Responsible for pre-conference coordination including project plan, venue selection, contract negotiation, budget preparation, invitee list and invitation management, etc.
  • Event execution includes working closely with venue staff, room set-up, co-ordination of speakers, guests, and timing (as applicable). Provide on-site logistics including registration, name badges, and gift bags/giveaways.
  • Act as day-to-day point of contact with external event management suppliers where applicable.
    • Conference, tradeshow coordination (booking coordinating materials, banners, promo items)
  • Post-event responsibilities include timely thank you communications, compiling program feedback and processing invoices, budget reconciliation, and final report of activities

Internal & External Event Related Communications
  • Ensure communications are clear, consistent, appropriately branded, and follow brand standards

Budget Oversight & Management
  • Oversee and manage budget as it relates to all events, corporate gifting, and swag.
  • Awareness of event and event related costs to plan upcoming yearly budget requirements with accuracy.
  • Adhere to budget and find efficiencies.

Vendor Management
  • Source and procure new vendors according to MCAP's vendor and contract guidelines
  • Manage vendor files for venues and all event related activities
  • Create and present decks for venue selection

Online Store, Swag & Promo
  • Oversight & Management of Corporate Swag Programs and Gifting, Online Swag Store: source, quote and select vendor for online store. Organize internal launch and manage inventory on an ongoing basis.
  • Broker Swag Recognition Program: plan, execute and manage corporate swag program to recognize brokers, provide complete and full reporting and budgeting for future years.
  • Oversight and management of corporate gift and swag requests.

General Support
  • Manage promotional item requests. Work closely with preferred vendor to ensure items meet branding guidelines. Oversee pre-production, ordering, and delivery, while remaining within budget and meeting deadlines.
  • Maintain marketing inventory through tracking, and reconciling billing as required.
  • Ensure all supplies are ordered and kept at appropriate inventory levels. In addition to standard office supplies, items include special paper for printing, boards for mounting presentations, blades, kitting and packaging materials, etc.
  • Prepare invoices for processing; prepare credit card reconciliation
  • Manage photography sessions

Product Launches and Promotions
  • Assist with the execution of product launches and national sales promotions Marketing processes and standards
  • Comply with marketing standards and follow set processes for routine work
  • Assist with the development of marketing processes
  • Contribute ideas for improving marketing standards and processes

Manage, Lead and Guide Event Direct Report
  • Manage, lead and guide an event coordinator in dual reporting relationship
  • Delegate, teach, and grown coordinator to assist in daily event planning and execution
  • Foster management skills that increase planning, delivery and accountability while focusing on mentoring and growth of direct reports

  • Minimum of 5-7 years managing events and promotions
  • Knowledge of professional communications and marketing principles
