Real Estate Transaction Coordinator / Social Media / Workflow Manager

International Virtual Assistant with at least 2 years similar experience is highly desired.  Will consider US based applicants local to Omaha, NE.  

Seeking an experienced driver personality to connect dots within a successful, fun, creative and ever growing real estate team. Based in Omaha, NE with eXp Realty, a wife/husband team which sells on average 4 homes per month (40-50 per year). We also attract agents to our tribe (60 agents total) at eXp through email marketing, events and social media attraction.

The ideal candidate will be able to show proficiency, experience, motivated interest and ability to 1) create and follow workflows, 2) seek and implement best practice automation methods, 3) mirror the creativity of the agent's brand and ensure consistency of content distribution among varying channels, 4) improve sphere of influence engagement and lead gen conversion, 5) grow brand awareness, and 6) to employ recruiting/attraction to co-op realtors to join our team.

Ideal work hours for Central Time Zone US (Omaha, NE), 30-40 hours/week. Role will include daily tasks, tasks per day of the week, monthly tasks and as needed tasks when a trigger/event occurs. Able to attend as needed Gmeets to listen to project ideas, objectives and designs to create tasks, drafts and see meeting ideas stay on task and are completed.

A DISC profile with a “D” DRIVER type personality with a heavy “C” CONSISTENT COORDINATOR would benefit this position best.

 

Job Duties:

TASK:Transaction coordination of real estate sales

TECH:Skyslope/Digisgn, MLS, KvCore,Google Business, Homebot, Canva, FB, LI, IG, Youtube, VideoLeap, DropBox

FREQUENCY: 4-5 deals per month

ROLE:

Create Skylsope Templates, Agent will text client info, property address and verbiage to TC to create envelopes for clients to sign. Create Needed Addendums until execution. Upload proper documentation info Skylsope for Broker Review and manage transaction services from offer to close of file. Communicate to all parties (client, co-op agent, title, loan officer, pest inspector, appraiser and any others during the escrow process. Upload and update MLS for listing contracts. Add client to CRM (kvCore) and create/set/manage post close campaigns along with birthday and home anniversary. Add client to Homebot Home Valuation Obtain google reviews. Upload Google Business Page. Add client info to Holiday Mailing List CRM (gdoc). Connect client to social media platform. Create and post “Coming Soon, “Just Listed, “Pending”, “Sold”. Assist in any video editing (VideoLeap) of onsite property/agent tours and social distribution to include youtube. Boost Posts/Ads if needed, email sphere. Add transaction to internal Pending Doc(Gsheet)

 

TASK: Sphere of Influence Management

TECH: kvCore

FREQUENCY: Monthly

ROLE:

Ensure SOI is properly audited and fine tuned to ensure proper engagement. Assist in touching sphere through newsletters (eXp marketing centers provides), Blogs (Keeping Current Matters Pro Subscription) and property announcements.

 

TASK: Lead Generation

TECH: KvCore, Zapier, Sold.com, Homebot, CRS

FREQUENCY: Ongoing

ROLE:

-Monitor KvCore behavioral automations/chats/emails.

-Sold.com - create zapier into KvCore and create campaigns/workflows for this lead tag.

-Homebot - review weekly report on Monday-send follow up email directly from agent gmail account

-CRS Mailing - Send agent 10 CRS reports per week along with client name and address from agent sphere of influence for agent to print, hand write note and mail.

 

TASK: Event Marketing Assitance

TECH: EventBrite Canva, Reach (text), MailChimp)

FREQUENCY: Monthly

ROLE:

Assist in canva flyer and other promotional materials in Eventbrite. Email Campaign through Mailchimp along with using Reach as a Text-to-invite method. Event reminders, follow-up and nurturing of these attendees (leads) to attract to join eXp. Create and nurture this audience and identify those clicking, watching videos and seeking information to arrange google meet or in person attraction meeting.

 

TASK: Facebook Birthday DMs

TECH: FB, KvCore

FREQUENCY: Daily

ROLE:

Review Upcoming birthdays in agent facebook account. Send agent report on Monday of upcoming friend birthdays. Create canva graphic and send DM to the agent-selected-friends the day prior to friends birthday. Audit kvcore/skyslope and other contacts to add to agent friends. Annually change and update birthday messaging. Ensure same contact not getting birthday text out of KvCore. ROLE: Manage new leads from LUXVT mailings (10 The Prairies2) 3) QR Codes )under campaigns utilizing luxury brand

Monitor FSBO Zillow Postings, Add leads to pipeline (text into Video)

Search MLS Expireds and Cancel, Audit still same owner/no recent sales, add to LUX Pipeline

 

TASK: Growth Team Meeting

TECH: FB, LI, IG, Google Business, Canva, GhostPoster

FREQUENCY: Weekly

ROLE: Attend weekly hourly meeting. Create shareable notes, top 3 objectives, VA tasks, complete any tasks prior to next meeting and send reminder email to attendees day prior to next meeting with notes and request for update on top 3 objectives plus share VA completed tasks.

 

TASK: Mailchimp vs Constant Contact into kvcore

TECH: kvCore

FREQUENCY: Ongoing

ROLE: We require quality designed emails for property listing distribution to co-op MLS agents, event invites to co-op agents and sphere. On property emails to MLS, we add an “explore eXp” button to seek agents looking for information on eXp and add those to leads in KvCore. We find KVcore does not provide click analytics. We use MC or CC to email our audience, then export the “clickers” into kvcore drip campaigns to attract agents.
