Position Summary:

The Development and Marketing Administrator is a key member of the fundraising and marketing team through donor management, planning, organization, communication and creative skills to support fundraising and marketing efforts at HAVEN.


Essential Duties:

  • Financial Management & Gift Processing: Collaborate with the finance team to ensure accounting reconciliation; Maintain Raiser’s Edge database to ensure accurate entry of all donations and donors/prospects records; Assure timely processing, including receipts and acknowledgements of all donations and grants received within 48 hours
  • Marketing: Plan, design, write and prepare HAVEN mailings. Facilitate printing and mailing with internal and external partners; Produce monthly CEO email correspondence for HAVEN staff; Execute donor email campaigns; Assist with social media execution including design and writing; Represent HAVEN at external events/opportunities
  • Development Coordination: Prepare annual calendar of solicitations and ensure that deadlines are met
  • Donor Moves Management: Assist with donor moves management process and donor cultivation tracking
  • Reporting: Prepare reports and provide analytical information using Raiser’s Edge NXT for donor strategies; Prepare reports as needed
  • Donor Communication: Draft and execute acknowledgements and guide customization according to federal, state and agency level guidelines; Provide assistance with research, proposals and donor communications
  • Branding: Uphold the HAVEN brand in all aspects of work
  • Goal Setting: Work alongside the Director to establish fundraising goals and develop strategies to achieve them
  • Researching Donors: Identify potential donors and research key development interests
  • Cultivating Donors: Maintaining accurate and up-to-date donor records and creating messaging that appeals to potential donors
  • Event Planning & Management: Schedule, plan, execute fundraising events; Manage auction catalog for all events
  • Grant Management: Work alongside Grant Manager to ensure accurate donor records for grant partners
  • Committee Engagement: Attend committee meetings, as needed
  • General Office: Filing and clerical duties; Answer donor calls;
  • Other duties as assigned


Requirements:

  • Ability to work with people of various socio-economic, multi-cultural, multi-racial backgrounds and sexual orientations
  • Excellent written and oral communication skills and outstanding organizational skills required.
  • Models a positive attitude
  • Demonstrates strong time management skills to efficiently prioritize and complete tasks.
  • Must be able to commute to Pontiac 5 days per week. Must be willing to work regular business hours with flexibility to work nights/weekends when needed based on business needs.
  • Must possess a valid driver’s license.
  • Must successfully pass a background check.

Education and Experience:

· Bachelor’s Degree in development, marketing, or related field strongly preferred.

· Minimum of 2 year’s experience with office administration, database entry, check processing/accounting and general office support tasks.

· Experience with Microsoft Office applications and Raiser’s Edge NXT required.

· Grant management experience preferred.

· Non-profit experience preferred.

· Minimum of 2 year’s experience with fundraising operations, event planning and execution, marketing including graphic creation, storytelling and public relations.

· Ability to lift a minimum of 20 lbs.
