Job Description

The Marketing Traffic Manager’s main objective is to ensure that all marketing collateral and work from account services flow efficiently to the creative and production departments. They are responsible for keeping everyone on task and projects on deadline, handling the logistics and keeping all parties updated on the progress, and tracking all projects from initiation to completion. The main objectives are to facilitate internal workflow and manage the process that allows the coordination and release of digital deliverables, all while clearly communicating what is on the agency's “hotlist” to key stakeholders.

Their end goal? To make sure the project goes smoothly, both the client who requested the project and the professionals who did the work are satisfied with the result.

Responsibilities

Create detailed schedules and set deadlines for various stages of a project

Track project timelines, checkpoints, and results–maintain job files

Communicate plans and progress to all partners and resolve timeline issues as needed

Distribute assignments to creative teams and other departments, depending on their availability and priorities

Responsible for ensuring that all timelines meet our partners' expectations and project objectives

Monitor projects and workloads, adjusting assignments and deadlines accordingly

Understand operational processes and manage internal expectations appropriately with respect to various turn-around times for all aspects of production, creative, client deliverables, QA, and media trafficking processes

Measure workload requirements of active projects against team assignments and work schedules to ensure high utilization rates among teams and addresses capacity concerns

Work with freelancers and contractors and ensure they have the resources needed for their jobs

Conducts weekly meetings with Directors to discuss all upcoming projects for the week and prepares a “Hot Sheet” for the entire agency

Displays an appropriate sense of urgency, prioritization, and tenacity relating to documents that are distributed to various teams on a timely basis

Work with the agency’s Directors to provide operational assistance when needed

Qualifications

Bachelor's degree in Marketing, Advertising, Communications or another relevant field is preferred

3-5 years agency experience, ideally in a traffic position in an ad agency

Must be computer-literate with proficiency in Microsoft Word, Microsoft Excel, Microsoft PowerPoint, Microsoft Outlook

Familiarity with platforms such as Basecamp or Teamwork and the ability to learn new computer systems

Experience managing digital marketing assets such as websites, banners, email and landing pages

Proven ability to manage multiple tasks while working independently

Strong attention to detail

Ability to learn new processes quickly with a "roll-up-their-sleeves" attitude

A strong sense of urgency and commitment to get the job done quickly and with high quality

The ability to communicate, both through written and verbal means, with people at all levels of an organization

Keen listening skills are essential in order to manage the timing of projects so that deadlines are met on a consistent basis

The ideal candidate will have a baseline understanding of digital marketing deliverables associated with website development, banners (rich media), social media, paid search, SEO and other areas
