About the Role:
We are seeking a highly motivated and experienced Executive Assistant to provide comprehensive support to our C-level executive, who oversees artist management, film production, and entertainment marketing initiatives. This is a fast-paced, demanding role that requires exceptional organizational skills, a proactive mindset, and a passion for talent and marketing.
Responsibilities: Provide full administrative support to the executive, including managing a complex calendar, scheduling meetings, coordinating travel arrangements (domestic and international), and processing expense reports. Assist with personal errands and tasks as needed, such as booking reservations, managing household affairs, and coordinating personal appointments. Manage communication flow, including email correspondence, phone calls, and mail. Prepare presentations, reports, and other documents as required. Conduct research and gather information for various projects. Perform frequent script coverage and format coverage, as required. Coordinate and manage events and meetings, including logistics, agendas, and guest lists. Assist with project management tasks, including tracking deadlines, coordinating with team members, and ensuring projects stay on schedule. Maintain contact lists and databases of key stakeholders. Handle confidential information with discretion and sensitivity. Assist with social media marketing and digital marketing initiatives, as needed.
Qualifications: Minimum 3 years of experience as an Executive Assistant in a high-volume, fast-paced environment, preferably within the film or music industry. Proven experience managing personal needs for executives, including travel and reservations. Excellent organizational and time management skills with the ability to prioritize and multitask effectively. Strong communication and interpersonal skills, both written and verbal. Proactive and resourceful with a "go-getter" attitude. Passion for the entertainment industry and a desire to learn and grow. Proficiency in Google Workspace, Gmail, travel booking tools, business banking interfaces, and all major social media platforms. Familiarity with IMDB Pro and Pollstar is a plus. Secondary education is a plus. Must be highly organized, detail-oriented, and possess a strong work ethic. Must be able to work independently and as part of a team. Must be articulate and communicate effectively and directly. Must be located in Los Angeles, CA or Bend, OR. Must have a valid driver's license and reliable transportation. Must be eligible to work in the United States.
