POSITION: Bailiff/Court Reporter
DEPARTMENT: Circuit Court
WORK SCHEDULE: 8:00 a.m. - 4:30 p.m., M-F
STATUS: Full-time
FLSA STATUS: Non-exempt

Incumbent serves as Bailiff/Court Reporter for the Hamilton County Circuit Court, responsible for coordinating juror selection process, maintaining order in the courtroom, and performing various clerical duties for Judge and Magistrate.
DUTIES:
Locks and unlocks courtroom each day and maintains courtroom security.
Performs various clerical tasks, including scheduling and processing documents, typing, updating, and copying forms, pulling and replacing, printing files, opening and distributing mail, and compiling and typing information.
Answers telephone and greets office visitors, answering questions, researching and providing information and assistance, responding to inquiries, and directing callers to appropriate individuals or departments.
Prepares various orders or entries for Judge and Magistrate. Receives and organizes Proposed Orders submitted for presentation to Judge, preparing and filing No Contact Orders, and Abstracts of Judgment in software.
Reviews jail lists for defendants scheduled for appearance, types, processes, and emails transport orders.
Coordinates criminal docket and assigns pauper counsel for cases. Arranges required remote video and telephonic hearings for incarcerated litigants as needed.
Coordinates psychiatric evaluations for criminal defendants as needed, including scheduling appointments with psychiatrist and jail, and composing, typing, forwarding orders, and correspondence.
Tracks status of jury trials by communicating with Prosecutor and defense attorney and keeping court staff and court administration apprised to changes.
Scans juror questionnaires, and various duties, including assigning jurors to sub panels, preparing summons to appear, issuing parking passes, updating address changes, processing Affidavit of Deferrals, and notifying Voter Registration of jurors who are deceased or moved from County.
Oversees and assists jurors during trials, including updating voice mail regarding status of trials, typing, copying, and distributing seating charts, instructions, employment forms, responding to inquiries, escorting to meals, arranging lodging and transportation, attending trials, providing supplies, food, beverages, checking in jurors at trial, entering data, preparing, processing, and forwarding claims and vouchers, and mailing checks. Arranges and accompanies sequestered juries in hotel overnight as required.
Prepares courtroom for trials and returns to order after trials, monitors, and maintains inventory of supplies in jury room, purchasing items as needed and maintains jury room in orderly manner.
Dockets hearings, processes motions, and orders in software. Maintains criminal and Magistrate's calendars, and obtains Interpreters as needed.
Serves as Court Reporter (non-stenographic) for some civil proceedings as needed, and all criminal hearings and prepares Orders as needed. Operates courtroom technology when serving as Court Reporter.
Performs duties of Civil Court Reporter/Office Manager in their absence as assigned, including recording hearings in courtroom and maintaining security of exhibits introduced in court.
Assists Receptionist and Office Administrator as needed and occasionally performs duties in their absence.
Attends conferences as required.
Performs related duties as assigned.
I. JOB REQUIREMENTS AND DIFFICULTY OF WORK:
High school diploma or HSE, public administration and/or legal experience preferred.
Working knowledge of standard office and court policies and procedures and complete tasks by deadlines imposed by state statute.
Working knowledge of standard office policies and procedures with computer skills, including word processing, spreadsheet, email, internet, and Department-specific software systems, including Word, Excel, Odyssey, INCITE, and Outlook, and ability to apply such knowledge to a variety of interrelated processes, tasks, and operations.
Working knowledge of basic bookkeeping principles and ability to perform arithmetic calculations, maintain records and prepare and process forms and reports as required.
Working knowledge of standard English grammar, spelling and punctuation, and ability to prepare correspondence, documents, and reports as assigned.
Ability to perform duties remotely as needed.
Ability to effectively communicate orally and in writing with co-workers, other County departments, attorneys, jurors, various agencies and departments, and the public, including being sensitive to professional ethics, gender, cultural diversities, and disabilities.
Ability to type with speed and accuracy, and properly operate standard office equipment, including court recording equipment, computer, printer, scanner, and telephone.
Ability to understand and follow oral and written instructions, and appropriately respond to constructive criticism.
Ability to work alone and with others in a team environment with minimum supervision, maintain appropriate, respectful interrelationships with co-workers, work rapidly for long periods, work on several tasks at the same time, and complete assignments effectively amidst frequent distractions and interruptions.
Ability to competently serve the public with diplomacy and respect, including occasional encounters with irate/hostile persons.
Ability to provide public access to or maintain confidentiality of Department information/records according to state requirements.
Shall comply with all employer and Department personnel policies and work rules, including, but not limited to, attendance, safety, drug-free workplace, and personal conduct.
Ability to occasionally work evening hours during jury trials, weekends, arrange and accompany sequestered jury in hotel overnight as needed, and occasionally travel out of town for conferences, sometimes overnight.
Possession of a valid driver's license and demonstrated safe driving record.
