The Role
Frank & Eileen is seeking a Project Manager to join our newly formed Branded Environments team which oversees all physical manifestations of our brand. This position will focus on the day-to-day management of all Branded Environment projects including owned & operated retail, partnered retail and corporate spaces. The role will provide administrative and project management support through all phases of work including planning, research, scope definition, design development, construction, installation, maintenance and, where applicable, breakdown. The ideal candidate is extremely organized, comfortable taking initiative and excellent at anticipating needs. This position is hybrid, based in Frank & Eileen's Los Angeles, CA offices with potential travel to project sites. This role will report directly to the Head of Branded Environments.

Responsibilities
On a day to day basis you will:
- Manage the Branded Environments team "back office," keeping work organized and on track utilizing AirTable, Google Docs and Google Calendar.
- Support cross functional work streams with internal F&E contributors as well as outside partners by managing timelines, communication and follow ups. Hold the team(s) accountable to keep all work on track.
- Keep all project files up to date and organized including research, notes, timelines, budgets, contracts and other important documentation.
- Create informational materials, project briefs and prep for presentations as needed.
- Own the Branded Environments calendar(s) schedule, draft agendas and take notes during recurring meetings.
- Manage monthly credit card expense reports.
- Guide vendors through the set up and invoicing process with accounts payable, troubleshoot issues and log payments against project budgets.
- Support F&E sourcing: order, track and organize deliveries, samples and reference materials. Help establish a growing materials library.
- Strategize ongoing process improvements and opportunities to improve our approach to projects.
- Perform other relevant administrative duties as assigned.
On a project need basis you may:
- Research and vet partners, professional services, vendors and suppliers.
- Manage partner relations, pre design and design project schedules.
- Lead the coordination of internal department input and approvals, ensuring feedback is communicated with partners in a timely and organized manner.
- Ensure all design deliverables meet brand standards, reviewing for accuracy, consistency and completeness.
- Manage ordering, shipping/receiving and other logistics for fixtures, furnishings, accessories, art, signage, equipment, office supplies and any other items a project might require.
- Schedule and attend site visits, arrange refreshments or meals as needed, act as point person for attendees when needed.
- Manage team travel arrangements and itinerary planning.
- Act as a team point person during installations, finding solutions and completing tasks as needed.
Other Requirements
- Comfortable managing a flexible schedule.
- Ability to travel within Los Angeles and the surrounding area. Occasional travel for projects outside of California, potential for more if there is interest.
- Valid driver's license and comfortable driving or renting a car.
- Available to work occasionally after hours and weekends.
- Occasional packing, unpacking and lifting of boxes up to 50 lbs, trunks or bags as needed in office and during installations.
Who You Are
- Passionate about Frank & Eileen, our mission, and fashion.
- 5+ years of direct experience with administrative or project management duties.
- Experience managing budgets and timelines for multiple projects.
- Familiar and comfortable utilizing AirTable, Slack, Google Docs and Google Calendar.
- Experience with interior design, retail design, experiential production, prop styling or set design projects preferred.
- A self-starter that takes a proactive approach to starting and finishing tasks.
- Excellent verbal and written communication skills.
- Strong organizational and time management abilities.
- Ability to prioritize effectively in a fast-paced environment.
- Attention to detail and solutions oriented.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Adaptable - able to work in a dynamic, often ambiguous environment.
- Nimble - able to handle multiple tasks and meet required deadlines.
- Team Player - Ability to work and collaborate in a team environment with both internal and external teams.
