Job Description Summary
The Marketing and Communications Advertising Assistant liaisons between outside advertising vendors and the Operations and Integrated Marketing team to support the regional and online campus expansion plan. Under the guidance of the Senior Director of Integrated Marketing and Operations, this individual will evaluate advertisement opportunities with internal resources and pace reports for undergraduate and graduate programs to support strategic marketing efforts with the objective of growing enrollment and building brand awareness in regional locations throughout Southern California. The advertising assistant will coordinate insertion orders, paperwork for purchase orders and check requests, documentation in the project management system, and hand off final deliverables to the vendor.

One hour of Paid Sick Leave for every 30 hours worked, with a maximum accrual of 24 hours of Paid Sick Leave per year and capped at 48 hours.
University of La Verne Defined Contribution Retirement Plan - can contribute employee voluntary contributions, excluding wages derived from federal work study funds.
In accordance with the Affordable Care Act (ACA), employees who work an average of 30 or more hours per week, will be eligible for medical coverage through the University of La Verne.
Covered under the University of La Verne Workers Compensation Insurance.

Job Description Summary

Under the guidance of the Senior Director of Integrated Marketing and Operations, this individual will evaluate advertisement opportunities with internal resources and pace reports for undergraduate and graduate programs to support strategic marketing efforts with the objective of growing enrollment and building brand awareness in regional locations throughout Southern California. The advertising assistant will coordinate insertion orders, paperwork for purchase orders and check requests, documentation in the project management system, and hand off final deliverables to the vendor.
Specific Duties
- Conduct market research for advertising opportunities in the region for undergraduate and graduate programs to build brand awareness and generate leads.
- Organize cold calls and acquire media kits from different vendors and publications. Support the ROC expansion plan to steward relationships with community college campus partners and enhance University of La Verne brand in strategic areas throughout Southern California. Align the initiatives of the program/college with the goals of enrollment management during assessment.
- Check-on, respond to and follow-up on all email, phone and in-person inquiries pertaining to advertising.
- Document and maintain accurate, detailed and organized records of conversations, ad specifications, and agreements. Document all updates and progress in project management platform to ensure timelines and deliverables as maintained.
- Ensure marketing, communications, and creative services teams have all pieces of information required for project tasks to be completed and that ads run on time.
- Pull monthly reports from Slate CRM to evaluate program enrollment with enrollment year-to-date and year-over-year metrics. Compare CRM data and budget reports to evaluate how programs are performing.
- Meet with AVP of Strategic Marketing and Communications and Senior Director of Integrated Marketing on a monthly basis to provide updates on new advertising opportunities, with a focus on regional campus expansion.
- Contribute findings and analysis to the Integrated Strategic Marketing Plans for each college.
- Other tasks assigned by staff within the Office of Strategic Marketing and Communications.
Minimum Qualifications
- Bachelor's degree in progress in communications and marketing. Open to considering majors from other fields.
- Excellent communication skills, both verbal and written.
- Knowledge of Microsoft Office Suite, Office 365, Google Apps, and similar cloud-based platforms.
- Ability to take initiative and work independently.
- Strategic and analytical thinker; ability to adapt in dynamic environment; strong customer service-oriented skills; action-oriented; detail-oriented with the ability to multi-task, meet deadlines and work under pressure.
- Strong interpersonal skills; positive collegial attitude; high level of professionalism; and ability to work collaboratively in a close team environment.
- Must be a current University of La Verne student
