Summary/Objective: As Broadcast Executive Assistant, this position is responsible for scheduling and billing of all paid commercial broadcast materials. As the first impression of callers and visitors, this position is an essential part of the success of 92.9 - The Torch. This position is primarily responsible for greeting and directing all station visitors, volunteers, guests, answering multi-line telephone with voice mail, routing and screening calls, and answering member and listener questions. The Broadcast Executive Assistant schedules and tracks commercials.

Essential Functions: Specific duties include, but are not limited, to the following:
  • Working with the Sales Manager, schedule and bill all paid commercial broadcast material.
  • Professionally and cheerfully administer all incoming phone calls by answering a multi-line phone system and directing calls to the appropriate staff or their voicemail and/or taking and delivering messages when necessary.
  • Greet and direct visitors to the station in a professional, friendly and hospitable manner making them feel welcome and comfortable. Serve as a friendly and professional host to visiting Artists and On-Air Guests. Work with the station's Music Director, Station Manager, and Artists' Representatives to accommodate visiting performers.
  • Provide administrative assistance to the radio station staff including, but not limited to maintaining calendars, scheduling meetings, coordinating travel arrangements, and providing other clerical duties as assigned.
  • Serve as the main point of contact in the scheduling and coordination of Community Advisory Board meetings; take and prepare meeting minutes; maintain a directory of the members of the Community Advisory Board.
  • Assist the Director of Broadcast Media in filing Quarterly Issues Reports to the FCC and updating the radio station's Public File as needed.
  • Receive, sort, and distribute incoming mail, faxes, and UPS and FedEx deliveries; prepare outgoing mail for the postal service and other mail carriers; assist staff with the proper use of the postage machine and maintain the inventory of postal supplies.
  • Keep the reception desk, lobby, and kitchen area clean and presentable.
  • Receive, stock, and distribute office supplies; alert the Director of Broadcast Media when supplies need ordering.
  • Assist other departments with special projects, mailings, etc as needed.
  • Clerical duties including faxing, copying, scanning, filing, sorting, etc as needed.


Required Skills:
  • A keen understanding of WLDF's target demographic; possess a strong desire to support diverse artists and communities.
  • Superior phone etiquette with the ability to tactfully handle occasional difficult callers.
  • Excellent verbal and written communication skills.
  • Able to work with minimum supervision.
  • Working knowledge of Radio Traffic Systems, MS Office (Word, Excel, Outlook, PowerPoint) and the Internet.
  • Ability to multi-task with excellent time management skills.
  • Strong organizational skills.
  • Exceptional interpersonal communication skills
  • Ability to work independently on assigned tasks as well as to accept direction on given assignments.
  • Able to work collectively in a mission-driven environment.

Position Requirements

Minimum Qualifications:
  • High school diploma or equivalent (GED).
  • 2 years of relevant experience and/or training, or an equivalent combination of education and experience.
  • Demonstrable track record of maintaining the confidentiality of customer, donor, corporate and organizational information.
  • Reliable transportation with a valid WI Driver's License.
  • Must possess superior customer service, speaking, and listening skills.
  • A professional appearance and demeanor with the ability to deal courteously and diplomatically with the public both internal and external, on the phone and in person.
  • Ability to work in a fast-paced, high-performing environment and appropriately interface with similar executives at other tribal broadcast organizations and corporations as well as music and entertainment industry professionals.
