Job Description
POSITION OVERVIEW
The Harold Grinspoon Foundation seeks a well-organized Program Coordinator to provide administrative support and project management for members of the PJ Library leadership team. This is a great opportunity to establish relationships with leaders in the organization and contribute to the purpose and overall efficiency of our Foundation.
This full-time position will be hybrid in the Agawam, MA office reporting to the Deputy Director, PJ Library (based in Cleveland, OH).
Requirements:Responsibilities include, but are not limited to:
· Provide administrative support to the Executive Director of PJ Library, Deputy Director of PJ Library, Director of International Programs, and Director of Family Experience, including scheduling, coding and submitting expenses, travel arrangements, and additional responsibilities, as assigned.
· Serve as a member of the Project Management Organization (PMO) and work with the Executive Director and Deputy Director to prioritize projects.
· Develop and manage project timelines and track progress and execution of action items in Wrike.
· Provide basic editing and design support in the Microsoft Office Suite and Canva, including enhancing various correspondences and creating communication materials and PowerPoint presentations.
· Handle Salesforce data hygiene, including significant maintenance, data entry, exports, and report preparation.
· Maintain shared project calendar(s) and files.
· Provide organizational and logistical support for online and in-person meetings, including scheduling, reminding, ordering catering, note taking, etc.
· Coordinate recurring and one-time mailings from the home office.
· Actively seek opportunities to help manage the busy schedules and competing priorities of the directors.
· Provide on-site conference support for the PJ Library International Conference, the annual Life & Legacy Leadership Gathering, and the JCamp 180 Annual Conference.
Skills and qualifications:
· 5+ years of experience as a project coordinator, executive assistant, or related professional position.
· Strong interpersonal skills and time management skills.
· Adept at multitasking and prioritization, including managing up and asking for help when
needed.
· Ability to handle sensitive and confidential information with complete discretion.
· Ability to work autonomously and collaborate with a team.
· Detail-oriented with stellar analytical and organizational skills.
· Excellent written and verbal communication skills.
· Strong proficiency with the Microsoft Office Suite, especially Excel, Outlook, PowerPoint, Word, OneDrive, and SharePoint.
· Expertise with, or a willingness to learn, Salesforce, Zoom, Airtable, Slack, cloud-based storage solutions, and other enterprise software. Familiarity with Wrike and/or Raiser’s Edge NXT a plus.

· Interest in or knowledge of the Jewish community.
· Bachelor’s Degree in relevant field preferred (Jewish communal work, nonprofit management, communications, project management, etc.).
Physical Requirements:
· Prolonged periods sitting at a desk, concentrating, and working on a computer.
· Must be able to lift up to 15 pounds at times.
Location:
· This position is based in Agawam, MA, home office at a hybrid in-person/remote schedule.
Compensation:
· $60,000 - $70,000 annually depending on experience.
