POSITION SUMMARY:
In this dynamic position, you will play a crucial role in the success of our business by developing and writing winning proposals and contributing to a variety of projects and initiatives. You will work closely with subject matter experts, project managers, and executive teams to understand client needs, research market trends, and translate technical jargon into compelling and persuasive content.
The Proposal Development and Content Specialist is mainly responsible for developing customized responses to Requests for Information/Proposals/Quotes (RFI/RFP/RFQ) for submission to prospective clients in compliance with response specifications. Additional responsibilities include technical writing, managing content library, preparing follow-up information for previously submitted proposals such presentations or other materials, and contributing to other department initiatives and activities.
Responsibilities:
You will conduct the following responsibilities, upholding HSSs commitment to safety and security while supporting the values and culture of the client and community.
- Champions the proposal development process, owning and leading from start to finish, while often managing multiple projects, project teams, and deadlines at the same time
- Collaborates with internal stakeholders to gather information, develop winning strategies, and ensure project feasibility
- Analyzes the RFP requirements and decides what information is to be included in the response and the appropriate colleagues to include on the bid team
- Coordinates with all company departments, business units, and executive leadership to gather all response materials to ensure an accurate, up-to-date proposal that is customized to solve for the customers challenges and demonstrates the value of a partnership with our company, putting us in the best position to move forward in the bidding process
- Writes high-quality proposals using the input obtained from all sources in a concise, responsive, logical manner while ensuring the information complies with the request specifications
- Manages the logistics of the proposal submittal process by required deadlines whether through hard copy delivery, online submittal, email delivery, or any combination thereof
- Plans and prepares presentations that align with previously submitted proposals; coordinates multiple meetings with presentation team to develop client-specific, customized presentation
- Develops original copy through compelling narratives that highlight our strengths, expertise, and value proposition
- Manages calendars and accountability of all requested deliverables from internal stakeholders
- Maintains processes for tracking and managing document review cycles; requests, assesses, and incorporates ongoing feedback from management to ensure maximum value and effectiveness in our messaging
- Reviews/edits content, proposals, presentations, or other materials prepared by colleagues to ensure consistent messaging, style/formatting, and branding in line with the quality standards of the organization
- Conducts FOIA requests and any additional research that is required to understand client needs, project scope, and competitive landscape in order to develop the best proposal response, presentation deck, or supporting marketing materials
- Participates in ongoing training to understand company operations, technology applications, and systems administration
- Contributes to sales enablement strategic plan; assists with continuous improvement for the department, as well as any other activities to support the sales, marketing, and communications needs of the company
Qualifications:
- Must possess strong writing skills and be familiar with marketing and communications practices and concepts.
- Must be extremely detail-oriented and highly organized with the ability to manage projects, prioritize tasks, and meet deadlines.
- Must be able to work flexible schedules and respond to work assignments with minimal notice.
- A minimum of two years experience in professional proposal development, especially technical responses for government RFPs, is preferred.
- Previous experience with original content writing, sales and/or marketing support, presentation development, and design skills preferred.
- Confidence in using Microsoft software applications and Adobe Acrobat is a must.

- Security service industry experience and/or experience in professional services marketing

Formal Education, Licenses, and/or Certifications
- High school diploma or equivalent (required)
- Associates, bachelors, and/or masters degree (preferred)
- PMP certification (enhances hiring consideration)
