The American Heart Association has an excellent opportunity for an Event Planning Coordinator. This office-based position is located in Wellesley, MA and will require at least three days per week in the office as well as periodic travel for events (primarily in Massachusetts).
This position is responsible for supporting development team members in their fundraising efforts, managing data in event management systems, handling event planning with vendors and volunteers, processing payments, and collaborating with colleagues on various tasks that advance our mission.
Responsibilities
- Support Services
- Maintain open communication with directors and volunteers to ensure objectives are achieved.
- Respond to customer inquiries in a knowledgeable and timely manner.
- Assist in the coordination and execution of leadership and board meetings.
- Prepare presentations, correspondence, and documentation including meeting minutes.
- Work independently and with a team on special projects.
- Event Logistics
- Coordinate logistical aspects of events including securing details with vendors.
- Recruit, schedule, and train volunteers for events.
- Attend events to assist with setup, execution, and teardown.
- Act as a point of contact for vendors and attendees.
- Prepare ADA compliant digital event communications.
- Process, Monitor and Report on Data
- Enter, maintain, and report on critical data including donor information.
- Ensure accurate record-keeping and monthly reconciliations.
- Generate reports as needed.
- Align with American Heart Association Funds Handling and PCI Procedures.
Qualifications
- High school diploma or equivalent required; college degree preferred.
- At least one year’s experience in administrative work or event management.
- Proficient in web conferencing software and Microsoft Office.
- Ability to manage multiple tasks and work in a team environment.
- Must pass a background check and be at least 18 years old.
Preferred Qualifications:
- Design skills, preferably in Canva or similar.
- Knowledge of email marketing basics.
- Experience with vendor negotiation and contract review.
