Do you thrive in dynamic environments and enjoy bringing special events and conferences to life? The Event Coordinatorplays a critical role in managing logistics of Smart Energy Decisions' live conferences and experiential programs. Collaborating with content, marketing, and sales teams, you'll play a vital role in delivering exceptional experiences for sponsors, buyers, and attendees while keeping all aspects of event planning on track.

What You'll Do:
  • Create and maintain conference project timelines, ensuring all deadlines are met.
  • Serve as the primary point of contact for pre- and post-event speaker communications, contracts, and presentations.
  • Coordinate logistics for special events like the 1:1 Dinner, Roundtables, and the WISE and Innovation Awards to elevate sponsor and attendee experiences.
  • Collaborate with Operations on AV needs and room setup requirements.
  • Develop event staging guides and signage orders.
  • Update session materials on the mobile app and websites.
  • Optimize processes for content collection and data management.
  • Collaborate with teams on conference programming, including marketing, registration, and operations.
  • Act as the on-site conference contact, serving as the speaker liaison during events.
  • Travel to events and execute the conference program.
  • Lead on-site speaker and session management, coordinating room monitors and evaluations.
  • Stay updated on industry trends to enhance planning expertise.

What We Are Looking For:
  • Experience coordinating conferences and events, managing pre-event and on-site logistics, and understanding attendee and presenter needs.
  • Exceptional project management, communication, and customer service skills.
  • Strong interpersonal, collaborative, and problem-solving abilities. Adept at managing timelines, handling multiple priorities, and adjusting to evolving requirements.

Work Environment: Diversified Communications offers the flexibility to work remotely and enjoy a hybrid schedule, working in the office 2 days per week. While this position reports into our office located in Portland, Maine, we are open to considering fully remote applicants.
