Position Summary

The Music Outreach Coordinator is a key member of the Crystal Bridges and Momentary (CBMO) Music team, cultivating community ties through engagement in the local music and events scene. The Music Outreach Coordinator will be intimately familiar with all programs in the Music department, regularly serving as an advocate for the department at community events, as well as building organic relationships within the community to establish Crystal Bridges and the Momentary as vibrant communal art spaces.

The ideal candidate for Music Outreach Coordinator will be in regular communication with local artists and other community partners and will be required to maintain active and up-to-date knowledge of events in the Northwest Arkansas area. The candidate must be consistently professional, approachable, proactive, and able to organize and balance multiple tasks, often while working away from the office. The position requires an ability to develop trusting, meaningful community relationships while simultaneously demonstrating discretion and confidentiality.

The Music Outreach Coordinator will be responsible for working across multiple, overlapping timelines and ensuring all external and internal communications are clear, timely, and well-documented. This position reports to the Programmer, Music, and works closely with team members across departments at Crystal Bridges and The Momentary, including, but not limited to, Production, Operations, Box Office, Brand Strategy and Communications, Engagement, and Special Events.

Principal Responsibilities

  • Serve as the primary advocate for CBMO's music programs at community events, festivals, and public forums.


  • Be a trusted advisor within the music community, offering feedback and insights to the CBMO team about community needs and trends.
  • Develop and maintain organic relationships with musicians, promoters, venues, music organizations, and other stakeholders in the Northwest Arkansas music scene to identify collaborative opportunities.
  • Host promotional booths and/or distribute marketing materials at local events to raise awareness of CBMO music programs.
  • Coordinate and execute the distribution of marketing materials, including hanging posters and delivering promotional items to local businesses and community spaces across the region.
  • Act as the primary point of contact for securing placements in shops, venues, and other high-traffic areas, ensuring broad visibility for the CBMO music programs and events.
  • Develop and maintain an updated database of contacts within the scene, noting key performance metrics to drive strategic decision-making.
  • Attend local shows, open mics, and festivals to remain engaged with local musicians and to scout emerging talent to be pitched to the Programmer, Music for potential booking.
  • Identify and recommend strategies to increase both general audience and local artist participation in CBMO's Music program.
  • In partnership with the Music team, develop initiatives that resonate with the community and enhance CBMO's reputation as a cultural hub.
  • Collaborate with the Music and Brand Strategy & Communications teams to identify and track relevant metrics that assess the success of various outreach methods.
  • Develop and implement a reporting system to evaluate outreach efforts, ensuring detailed documentation is completed after each promotional activity (e.g., vendor booth engagements).
  • Regularly update supervisor on the need for strategic adjustments to outreach efforts and promptly communicate any issues or changes in scope of ongoing projects.


Additional Responsibilities
  • Attend music programs at Crystal Bridges and the Momentary to engage in person-to-person sales and marketing efforts.
  • Attend regular meeting with the Music team and other key departments, such as Brand Strategy and Communications.


  • Answer inquiries in a prompt, professional manner.
  • Provide suggestions to improve processes and remove barriers between CBMO and the local community.
  • Assist with management of interns and volunteers for the Music department.

Minimum Qualifications
  • A deep passion for music of all kinds and the local music scene with an ability to connect meaningfully with diverse groups, from grassroots musicians to corporate stakeholders.
  • Proven ability to independently generate and complete task lists based on strategic goals set by the Programmer, Music.
  • Excellent relationship-building abilities, with exceptional verbal and written communication skills.
  • Confidence in approaching and persuading local businesses to support marketing initiatives of Crystal Bridges and the Momentary.
  • Willingness to actively participate in promotional efforts, from picking up large boxes of promotional materials, to setting up vendor booths, to engaging with the public at events.
  • Ability to work most Saturdays, and flexible schedule to accommodate frequent work during evening hours.
  • Ability to regularly carry up to 15 lbs of collateral marketing materials (lawn signs, posters, flyers, banners) during distribution, and occasionally lifting heavy boxes when picking up materials at the printers.


Education, Training, and Traits
  • Valid US driver's license with reliable transportation.
  • High school diploma or GED.


Work Experience
  • Some experience in the field of contemporary music, or music- adjacent fields
