Job Title: Studio Coordinator 

Location: Rebecca Rose Fine Portraits (Austin TX)

Reports to: Director of Studio Operations and Regional Photography Manager

Position Type: Full-Time

Schedule: Monday - Friday / 9:00a - 5:00p


Job Overview

The Studio Coordinator is responsible for overseeing the day-to-day operations of the studio, ensuring smooth workflow for photographers, providing excellent client service, and maintaining the studio's organizational standards. This role requires a blend of administrative skills, creative oversight, and personnel management to support the photographers and ensure that the studio meets its artistic and business goals.

  

Key Responsibilities

Studio Operations:

Daily Scheduling

  • Coordinate and manage the studio's daily schedule, helping with last-minute cancellations or changes, and ensuring smooth day-to-day operations.

Resource Allocation:

  • Provide support so that staff are aware of their daily tasks, client requirements, providing them with the necessary resources and information to execute each session efficiently.

Schedule Adjustments:

  • Respond to unexpected schedule changes, such as sick employees or emergency rescheduling, and promptly inform team members to ensure minimal disruption to the workflow.

Client-Ready Studio:

  • Ensure that the studio is always client-ready by maintaining a tidy, aesthetically pleasing, and luxury space.

Inventory & Equipment Management:

  • Track and manage studio inventory, including supplies, photography equipment, props etc. Coordinate with vendors for repairs, replacements, or supply restocking as needed.

Cleanliness & Presentation:

  • Ensure that all studio areas, including the photography spaces and client waiting areas, are tidy, aesthetically pleasing, and conducive to a luxury client experience.

 Team Coordination & Support:

Staff Support:

  • Act as a main point of contact for photographers and studio staff, ensuring they have everything needed for successful portrait sessions, including proper setups, equipment, and instructions.

Training & Development:

  • Assist in onboarding and training new photographers and studio staff on policies, procedures, and workflows. Provide ongoing guidance to ensure team members uphold the studio’s standards for quality and professionalism.

Conflict Resolution:

  • Address any issues or conflicts that arise during portrait sessions, and work with photographers to resolve them quickly and professionally; as well as communicate issues with Regional Photography Manager or Director of Studio Operations as needed.


 Artistic Quality & Gallery Review

Quality Control:

  • Regularly review portrait galleries and provide feedback on posing, composition, and lighting to ensure consistency with the studio’s fine art standards.

Collaboration:

  • Collaborate with the Regional Photography Manager and photographers to identify areas for artistic improvement, ensuring that all work produced meets the studio’s high aesthetic standards.


Client Relations

  • Ensure the accuracy and quality of the script process, and the informative communication of key points to the client.


Reporting & Studio Performance

Performance Tracking:

  • Provide regular reports and updates to the Regional Photography Manager on studio performance, client satisfaction, and operational efficiency, as well as any staffing or studio issues or needs.

Team Communication:

  • Facilitate clear and open communication between all studio staff to ensure alignment on goals, scheduling, and performance standards.

Time Commitment:

  • Flexible schedule, approximately 40 hours per week.
  • Availability to complete morning and end-of-day tasks.
  • Communicate from 9:00 am-6 pm EST daily.
  • Conduct regular meetings and reviews to monitor studio and team performance.
  • Frequent travel is required to visit Studio Locations

Available shifts and compensation: Available shifts all days except Sundays and Saturdays. Compensation depends on your experience.
