Stephenson Equipment, Inc (SEI), an industry leader in Pennsylvania and New York providing sales, rentals, parts and service for construction equipment, cranes, paving, road building and road maintenance equipment, has an immediate need for Construction Equipment (CE) Service Writer/Administrative Assistant in our Harrisburg location.


Duties include, but are not limited to:

  • Provide office support, including answering phones, filing, mail, and scanning.
  • Order and maintain all supplies.
  • Create and issue purchase orders.
  • Process and code all branch invoices.
  • Manage cash drawer.
  • Liaison for branch to Harrisburg Administrative offices for IT and HR.
  • Compile and submit payroll weekly to Administrative offices.
  • Cross train and cover administrative tasks for Truck Sales & Service as needed.

CE Service Writing:

  • Answer service calls and write service orders.
  • Compile reports for service management.
  • Create and maintain paperwork and recordkeeping.
  • Create work orders for shop and field service jobs.
  • Track and schedule service truck state inspections.
  • Enter service time and notes for CE techs to work orders.
  • File quarterly service truck inspection reports (completed by techs).
  • Process, code, file, track and follow up on all vendor warranty claims.
  • Follow through work orders until complete for parts, notes, customer requests, warranty requirements, and service time.
  • Invoice service jobs to finished goods equipment and customers.
  • Maintain equipment history files.
  • Review, close and invoice work orders.
  • Scan all job invoices, notes and photos into job folders.
  • Track and Schedule jobs for shop (Sales and Outside Customer Base).

CE Equipment Rental

  • Schedule equipment transport as needed.
  • Send customer invoices for rental.
  • Create equipment check in/check out sheets. Scan once completed by service tech.
Requirements:

The best fit to our team will have:

  • Associate's degree (A. A.) or equivalent from two-year College or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
  • Office environment with moderate noise; computers, printers, and light traffic. Work requires a majority of the time to be sitting, using hands to finger, handle, or feel. Minimal lifting, up to 25lbs.
