Job Summary
The Community Manager for Restaurant Associates at UBS is responsible for the planning, coordination and execution of activities, and special events.
Essential Job Functions:
- Manages activation events calendar, Eventbrite listings, monthly newsletter and assists with creation and online dissemination of RA Cookbook
- Creates reservations within EMS Reservation System for activities in the amenity spaces and in the Cooking School with proper coding
- Serves as the point person for the host during meetings. Coordinates with audiovisual team for ad hoc AV support requests from meeting participants.
- Coordinates with Reception Services to ensure seamless guest experience when needed. Ensures vendors are pre-registered.
- Partners with key department leads to assist with the culinary programs in the Cooking School, Coffee bar, Wellness Bar and Mobile Pickup
- Responsible for the booking of all Cooking School events. Checks shared mailboxes and responds to all inquiries in a timely fashion
- Oversees the amenity spaces at UBS sites in NJ and NY. Performs regular walkthroughs of amenity spaces to ensure furniture is consistently presentable, there are no old/outdated signage, etc. Report all maintenance faults/hazards and cleaning requests to the appropriate personnel. Escalate to General Manager if necessary.
- Collaborates with Catering Managers/Directors on all events
- Hands-on approach to manage all activities and oversees the execution of events
- Exhibits superb organization skills and is able to manage multiple tasks or projects simultaneously.
- Stays within budget limitations set by Management. Ensures invoices from vendors associated with activation events are submitted to Finance in a timely fashion.
- Reports on sales and attendance for all events and takes proactive steps to increase sales and event participation.
- Knowledge of current events, cultural activities and industry trends. Uses this knowledge to create new, fresh and relevant employee activations
- Close collaboration with all stake holders within the Group Corporate Services community, especially the Executive Client
- Ensure seamless communication flow with clients before, during and after the execution of their events.
- Manages and coordinate with Marketing/ Communications Management on the content of the digital displays. Creates flyers and other marketing materials to support events
- Tour and meet with prospective internal and external clients to showcase the spaces
- All other duties as assigned.
Qualifications:
- Corporate, conference center or hotels sales and/or events experience strongly preferred.
- Ability to work a flexible schedule including occasional evenings as needed. This is an in-person position. While this position is based in NJ, occasional work at the NY offices may be required.
- Effective negotiating skills managing outside vendors relationships.
- Excellent oral and written communication skills.
- Excellent organizational skills, with the ability to work under pressure, prioritize, and multitask.
- Strong computer skills and knowledge of office technology / equipment. Knowledge of EMS is a plus
- Discreet, ethical and committed to maintaining a high degree of confidentiality.
- Punctual, dependable and dedicated to achieving excellence, down to the smallest of details.
