Role: Editorial and Production Coordinator

Location: Stanford, CA

Duration: 4 months (with possible extension)

Description:

Hoover Institution Press is the publishing arm of the Hoover Institution, a world-renowned public policy research center dedicated to generating ideas that advance freedom. We are looking for an experienced Editorial and Production Coordinator who loves books, public policy, and archival material. Our publications cover key areas such as economics, national security, education, energy and the environment, health care, history, law and regulation, and political philosophy.

As part of our team, you’ll play a vital role in producing high-quality publications and supporting various stages of the publishing process.

Key Responsibilities:

  • Assist with coordinating cover design for books and essays.
  • Track and secure permissions for covers, figures, and text.
  • Support full-service projects with editing, proofreading, and production coordination.
  • Serve as a contact for authors during editing, design, composition, and proofreading stages.
  • Coordinate product web pages with the web team.
  • Support Print-On-Demand setup and liaise with printers.
  • Aid in eBook conversion and manage digital production workflows.
  • Create and upload Advance Reading Copies (ARCs).
  • Archive vendor production files.
  • Maintain production tracking sheets and schedules, and ensure deadlines are met.
  • Provide copyediting for institutional materials and other editorial support.
  • Assist with proof corrections and proof page reviews.
  • Manage reprints and eBook creation/remediation.
  • Assist with generating text for marketing books and essays.

Requirements:

Qualifications: MUST have BS degree. Education check will be done.

  • Bachelor’s degree and five years of relevant work experience, or a combination of education and relevant experience.
  • Comprehensive familiarity with all phases of book production, including copy, editorial, project management, art and design basics, and both traditional and digital printing.
  • Familiarity with the Chicago Manual of Style (17th or 18th ed.)
  • Familiarity with typical book production graphic software. Demonstrated experience with these tools preferred, but not required.
  • Ability to manage multiple projects with exceptional attention to detail.
  • Strong communication skills to work effectively with internal teams and external publishing and production partners to meet deadlines.
