Service Writer / Admin (Material Handling) Job Description

Position Overview

Our Inside Service Writer plays a crucial role in maintaining this standard by serving as a vital link between our customers and the dealership.

Essential Job Functions
  • Customer Liaison: Act as a point of contact for customers to ensure satisfaction and address any concerns.
  • Sales Promotion: Enhance labor and parts sales to boost customer satisfaction.
  • Job Order Management: Prepare Quotes, monitor Jobs, and close work orders accurately.
  • Customer Interaction: Quoting directly to Customers for any field and Shop repairs generated by Field Technicians and offering Customer unrivaled service with timely updates and accurate Quotes
  • Warranty Communication: Determine and communicate machine warranty status to customers; manage jobs as revenue if warranty information is unavailable.
  • Schedule Coordination: Review daily work schedules with the Service Manager to update priorities, parts deliveries, and deadlines.
  • Repair Oversight: Work with the Service Manager to ensure repairs are completed within quoted or estimated labor hours.
  • Authorization Handling: Obtain written authorization for jobs before dispatching mechanics and follow up as needed.
  • Parts Assistance: Assist the Parts Manager with ordering parts, inventory control, and restocking.
  • Sales Support: Provide assistance at the parts counter and help the Sales department with paperwork as needed.
Non-Essential Job Functions
  • Safety Compliance: Ensure service personnel adhere to safety, housekeeping, and company policies, in coordination with the Service Manager.
  • Invoice Verification: Verify that final invoices match service proposals and meet customer expectations.
  • Administrative Support: Assist with the administration of the Service and Parts Departments.
  • Managerial Communication: Keep the Service Manager informed about key managerial matters.
Desired Skills and Abilities
  • Proactive Attitude: Ambitious with a strong work ethic.
  • Detail-Oriented: Strong problem-solving abilities and capability to work with minimal supervision.
  • Technical Proficiency: Proficiency in Microsoft Excel and Word.
  • Mathematical Skills: Strong mathematical skills are essential.
Physical Demands and Working Conditions
  • Ability to sit for extended periods, perform tasks such as answering phones, reading paperwork, and filing.
  • Capable of walking through uneven terrain, bending, and standing as needed.
  • Effective communication skills by phone and in person.
  • Sufficient hearing ability to communicate via radio, phone, and in person.
Education
  • High School Diploma or equivalent. Relevant experience may substitute for educational requirements.
