Position Responsibilities:

Physical Demands & Work Environment:
- Provides administrative support and other tasks as directed by General Manager.
- Partners with AAM Management Team to ensure compliance with State and Federal Association Management Laws.
- Develops working relationship with community board members and various committees.
- Liaison between the Board of Directors, Homeowners, Residents, Property Managers, Realtors, Lenders, Security Personnel, and contracted vendors.
- Manages Certificates of Insurance for vendors.
- Schedules amenity reservations in Building Link.
- Manages Resident data in Building Link.
- Assists with community inspections of common areas according to AAM's Management contract.
- Communicates with homeowners concerning compliance with CC&R's including monitoring the pool facilities to enforce the pool rules.
- Oversees the design review guidelines process.
- Assists in reviewing bid proposals with General Manager and provide excel spreadsheet summary
- Maintains accurate and current association records, calendars and website.
- Designs Newsletters, brochures, handouts, etc. for community and Social Committee events.
- Maintains strict adherence to community and company deadlines.
- Updates community disclosure packages, prepare Orientation binders and provides Orientations with new Homeowners.
- Update the change of ownership in Building Link and Butterfly.
- Schedule Move-ins / Move Outs, deliveries, and Conference Room reservations.
- Manage Resident packages.
- Maintain paper and toner in the Business Center.
- Certified Meeting Minute Taker for all Open and Executive Board Meetings.
- Answer phone and greet everyone who enters the office.
- Respond to phone calls and emails in a timely manner within 24 hours.
- Visitors must check in at the front desk. Guests, Vendors, Invitees must be accompanied by the resident.
Knowledge, Skills & Abilities:
- Strong computer software and internet proficiency.
- Excellent interpersonal skills: positive written and verbal communication abilities.
- Ability to handle multiple tasks simultaneously, establish priorities, and meet deadlines.
- Exceptional organization and tracking skills.
- Proven customer service experience, with a strong emphasis on problem resolution.
- Ability to multitask, and prepare and process large amounts of administrative and customer service items while being detail oriented.
- Ability to function efficiently in a high volume, fast-paced environment.
- Ability to interact and work positively and effectively with staff at all levels.
- Advanced communication skills (both verbally and written), and the ability to communicate with all levels of management, staff, residents and Boards of Directors.
- Ability to work collaboratively and cooperatively within the department as well as with other departments.
Physical Demands & Work Environment:
- Sitting and standing for moderate periods of time.
- Utilizing personal automobile for commuting to and from assigned communities.
- Walking communities to inspect common areas per management contract.
