Robert Half has a client seeking a Marketing Coordinator with experience planning and coordinating both in person and virtual events. This position requires working onsite in Philadelphia, PA 3x a week, and occasional travel for events.


Responsibilities include:

  • Assist Director of Marketing with multiple annual events
  • Assist Director of Marketing with continuous material development for the website content
  • Assist Director of Marketing with continuous material development for the Social Media posts
  • Support the development and finalization of deliverables used in the sales and client management process
  • Assist in the development of sales and marketing tools used for prospecting and presentations
  • Produce project/event plans for annual conferences/events/projects
  • Track & purchase inventory for company swag & stationary
  • Annual mailing campaigns
  • Coordinate Sales Producer travel arrangements
  • Coordinate Sales Producer event registration
  • Coordinate Producer schedules to foster collaboration to maximize acquisition of new accounts
  • Travel as needed for events and conferences to ensure set-up and support
  • Handle the day-to-day administrative tasks of maintaining the office suite
  • Process incoming and outgoing mail, distribute packages, and maintain records of correspondence.
  • Monitor office and kitchen supplies inventory and place orders as needed
  • Serve as a central point of contact for internal and external communication, relaying messages and inquiries promptly and accurately
  • Act as a liaison between the office and building management
  • Oversee office equipment maintenance and repairs, liaising with vendors and service providers
  • Manage delivery service accounts such as UPS, FedEx, USPS


Qualifications

  • Bachelor's or Associates degree in Marketing, Communications, or a related field
  • 2+ years of assisting Executive, Sales, and/or Marketing teams and/or related experience
  • Experience planning and coordinating both in person and virtual events
  • Previous event planning and/or project management experience a plus
  • Proficient in Microsoft Office Suite, with expertise in PowerPoint
  • Highly resourceful, detail-oriented, and skilled in problem-solving and time management
  • Strong communication, interpersonal abilities, and a proactive learning mindset
  • Adept at multitasking, prioritizing, and maintaining organizational accuracy
