Marketing Events Support Specialist - Temp/Contract Duration: 4 months Location: Hybrid - Downtown Boston (onsite Tues-Thurs weekly with flexibility to work in the office Mon & Fri as needed) Description: Are you a proactive, solutions-oriented professional with a passion for event planning and logistics? Our client is seeking a Marketing Events Temp Support to collaborate closely with our Director of Events, Senior Events Manager, and Americas Stakeholders. This role is an exciting opportunity to contribute to a dynamic team and help deliver impactful events that drive engagement and results. Key Responsibilities: Event Administration Support the planning and execution of a variety of external events, including flagship conferences, forums, roundtables, and more. Conduct research and identify external conference and sponsorship opportunities. Event & Webinar Planning and Production Research and visit potential event sites, providing recommendations to aid in location decisions. Assist in planning and managing both virtual and in-person events and webinars. Collaborate with business units to understand objectives and deliver impactful event experiences. Coordinate event logistics, including room layouts, food and beverage needs, audiovisual equipment, décor, and signage. Manage hotel room block reservations and registration details for attendees. Act as the primary liaison between vendors and internal teams for event-related matters. Oversee event logistics from pre-event planning through post-event evaluation. Maintain and organize participant lists, coordinate event postings, and send email invitations and reminders. Drive event awareness and attendance through social media, PR, email campaigns, and cold outreach. Schedule and coordinate external speakers, including travel arrangements, biographies, headshots, and expense reporting. Prepare event materials such as nametags, notebooks, gift bags, registration lists, and seating cards. Sponsorship Management Research and evaluate potential sponsorship opportunities. Coordinate all sponsorship activities, including marketing materials, booth logistics, speaker arrangements, and meeting scheduling. Event Measurement and Reporting Design and implement standardized event feedback forms. Track feedback and propose innovative improvements for future events. Systematically monitor and report event awareness and attendance metrics. Track financial details and report ROI to stakeholders. Qualifications - Education and Experience: Bachelor’s degree in Marketing, Communications, or a related field (preferred). Proven experience in managing and coordinating large-scale, customer-focused events. Hands-on experience in planning and executing client-facing events. Familiarity with Customer Relationship Management (CRM) tools, with experience in Microsoft Dynamics CRM being a plus. Proficiency in Excel and other Microsoft Office applications, including Word, PowerPoint, and Outlook. Skills and Competencies: Must be able to perform administrative tasks as needed to support event planning and execution. Strong ability to collaborate effectively within a cross-functional team, working across multiple locations. Exceptional communication skills, both written and verbal, to liaise with internal teams and external stakeholders. Highly organized with excellent attention to detail and the ability to manage multiple projects simultaneously. Comfortable working in a fast-paced environment with a focus on delivering high-quality results under deadlines.
