Overview: Fredrikson & Byron is looking for a Marketing Operations Specialist to join our growing team. This role offers a dynamic opportunity to support the Marketing and Business Development (MBD) team by providing operational support across critical functional areas. The position plays a pivotal role in streamlining marketing processes, managing team systems and resources, and providing comprehensive support that enables the MBD team to effectively execute its strategic objectives. Key Responsibilities Include: MBD Budget & Financial Operations *Prepare and maintain budget templates and communications for the MBD budgeting process. *Run monthly budget reports and work with Business Development Managers to understand YTD expenses and forecasts. *Track and report on MBD team professional development and inter-office travel expenses. *Reconcile and process MBD team credit card expenses. *Process marketing transfer and budget reclassification requests. Client Feedback Initiatives *In collaboration with the Chief Marketing Officer and Director of Marketing Operations & Client Experience, project manage the firm's client feedback initiatives. *Prepare pre- and post-client interview reports, as well as annual reporting. *Partner with third party to execute annual electronic client survey. *Perform client data clean-up and maintenance in the firm's CRM system. *Assist with travel accommodation planning related to client interviews. Branded Merchandise Management *Manage branded merchandise inventory, including item selection and ordering. *Track and maintain branded merchandise annual budget. *In tandem with Marketing Operations Coordinator and Regional Marketing Specialist, process and fulfill merchandise orders for all offices. *Research market trends and identify new merchandise opportunities. *Handle custom order requests and special merchandise projects. Marketing Materials & Records Management *In collaboration with Senior Graphic Designer and Marketing Operations Coordinator, track and stock MBD printed collateral; support budgeting for materials. *Work with Records team to manage onsite and offsite MBD file storage, following records retention policy. *Manage team digital folder structures. *Manage inventory in the secondary MBD storage area. Marketing Technology *In tandem with Marketing Operations Coordinator, maintain MBD intranet pages. *Manage and maintain the branded merchandise intranet webstore. *Provide technical support and troubleshooting for various marketing tools and applications. Event & Sponsorship Support *Occasionally staff MBD or firm events at the request of the Events & Sponsorships (E&S) team. Administrative Support *Manage MBD team Lunch & Learn internal training series. *Support MBD team meetings and retreats (e.g. drafting agendas, driving team-building efforts). *Assumes other duties as assigned or apparent. Our Ideal Candidate Will Have: *Bachelor's degree or equivalent practical experience. *5-7+ years of experience in marketing operations, business operations or an administrative support role. *Experience working with CRM systems and maintaining data integrity. *Experience with expense management, invoicing and budgeting systems. *Proficiency in standard business software applications such as Microsoft Office, including Word, Excel, PowerPoint and Teams required; experience with project management tools a plus (e.g. Smartsheet). *Ability to work a hybrid in-office schedule; occasional early morning or evening work is required. Desired Qualifications: *Prior experience with any of the following technology tools: 3E, Xcelerate, ChromeRiver, InterAction or Sharepoint. *Strong time-management skills and ability to manage multiple projects at a time with impeccable attention to detail. *Excellent communication skills (written and ve bal), both internally and externally. *Ability to learn and adapt to new software platforms quickly - must be tech-savvy. *Excellent organizational skills and self-motivated. *Ability to work in a fast-paced, rapidly changing environment. *Professional demeanor and strong interpersonal skills. *Ability to lift and move up to 25 pounds occasionally (for handling of merchandise, materials, etc.) Compensation & Benefits: The salary range for this position varies by geographic market. In Minneapolis, the estimated starting annual pay range is $60,000 - $77,000/year. The compensation offered will be dependent on the candidate's experience, skills, education, professional background, overall qualifications, and geographic market location.
