Job Description:

Summary:
Our client has an exciting opportunity at our Refinery, Pipelines & Terminals facility in Laurel, Montana. We are looking for a Residual Marketing Contract Coordinator. The purpose of this position is to assist in residual products sales, contracts, sales orders, processing department account payables and receivables, and issuing credit and debit adjustments. Responsibilities include providing quality customer service by addressing internal and external customer inquiries, furnishing contract/invoicing/adjustment documents upon request, and processing account adjustments when needed. This position supports the Residual Marketing and Refinery Supply departments by working closely with multiple internal teams, maintaining organized contracts and invoicing records. This position requires attention to detail and the ability to spot errors and inconsistencies, the ability to work with others in all levels of the organization, and exceptional communication skills (oral and written). This position will also be the primary back up for all aspects for the refinery supply division.

Responsibilities
- Prepare and distribute all contract related documents.
- Create sales orders for residual products in a timely manner.
- Work with appropriate departments to for new customers as well as maintain existing customer account information.
- Retrieving and distributing department mail daily.
- Process monthly payments to customers for negative netback products.
- Investigate and resolve any accounts payable issues for this department and the asphalt terminals.
- Properly collect all documentation to invoice by reviewing shipments (refinery rail shipments, refinery truck shipments, asphalt terminal truck shipments, etc.)
- Respond to emails sent to department email inbox.
- Answer the Residual Marketing main phone line and address any questions or respond to issues in a timely manner.
- Address and respond accordingly to all contracts related inquiries.
- Provide information to operations as requested.
- This position will cross training to provide coverage for other contract administrative duties across the Refinery Supply team (crude oil, natural gas, etc.) along with other general duties as assigned.

Minimum Qualifications (required):
- 1+ years of experience in Compliance and/or Contract Administration/Management
- High School diploma or GED
- Equivalent combination on education and experience
- Proficiency with Microsoft Office (Excel, Outlook, etc.)

Additional Qualifications:
- Associates degree in business-related field
- Accounting, administrative, or logistical experience in a related technical industry
