Description

The Colorado Community College System (CCCS) is hiring a Program Assistant to join our Career & Technical Education (CTE) team at System Office. In this role you will provide administrative support in the Business, Marketing, Entrepreneurship, and Marketing (BMEF) program for the Program Directors and State Advisors with a focus on conference logistics and accounting processes. Please note: while this position is listed as being hybrid-remote, the person in this role will be expected to come into the office at least one day a week.

Examples of Duties

Event planning, project coordination, and administrative support for all DECA and FBLA conferences, including state and national leadership conferences. Includes support and maintenance of the event management system. Provides administrative support at the DECA and FBLA Conferences. Maintains websites, coordinates travel through travel agency and builds reports utilizing common software such as the Microsoft Office Suite and similar applications in Google Workspace. Updates System CTE records and databases. Reconciles student dollar accounts in QuickBooks, cuts checks, receives payments, makes deposits and communicates with local chapters regarding invoices and payments. Makes purchases using purchasing card and state association credit cards as appropriate, following all CCCS, state, and federal regulations. Reviews contracts, invoices, travel expenditure reports, and procurement card charges, prior to submittal for payment, for discrepancies in computation and appropriateness under state fiscal rules and regulations. Acts as procurement card holder and tracks expenses monthly. Required Qualifications

Two years of office support experience. Appropriate education will substitute for experience on a year-for-year basis. Experience with Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint) and/or similar applications in Google Workspace. Supplemental Information

Basic QuickBooks or similar program skills (or willingness to learn) Basic Canva design skills or similar program (or willingness to learn). Comfort with email marketing and/or CRM systems (or willingness to learn). Ability to multi-task. Self-starter. Work Location/Travel Expectations :

The position is located at 9101 E Lowry Blvd, Denver, CO 80230. The person in this position will be expected to be in the office at least

one day a week . Alternative Work Arrangements, including flexible schedules and remote work, may be available. Work must be completed in the state of Colorado. Employee will be required to travel to in-state conferences including DECA and FBLA State Conferences. Employee may be required to stay overnight at the hotel during these conferences. Employee may be asked to assist at off-site state conferences for other Career and Technical Student Organizations. Employee may be requested to travel out of state to national conferences.

Administrator/Professional-Technical (APT) positions earn 15 hours of annual leave and 10 hours of sick leave each month - based on fulltime status.
