Library Program Operations Manager

The Enoch Pratt Library has an opening for a Program Operations Manager. Under the supervision of the Chief of Programs, the Program Operations Manager will support system-wide and branch library programs, projects, and initiatives, with an emphasis on project and process management and staff training.

Salary: $79,507 to $103,275

Summary of Duties:

The summary of duties listed below is not exhaustive. Additional duties are dependent upon the needs of the hiring department.

  1. Hires, supervises, monitors, and evaluates direct reports: Program Operations Coordinator, Special Projects Coordinator, and Programs Office Associate.
  2. Maintains and updates program policy and procedural documents and regularly updates the Programs department’s page on the staff intranet.
  3. Supports major system-wide programs and initiatives (Summer Break Baltimore, Imagination Celebration, Read to Reef Book Club, etc.) through the operationalization of processes, procedures, deadlines, reporting, and staff assignments. Utilizes Trello to track the progress of these programs and initiatives.
  4. Updates and maintains the database of program presenters and vendors, ensuring accurate and comprehensive records to streamline program coordination and planning system-wide.
  5. Oversees the tracking of age-level programming expenditures and supplies. Updates branch budget documents regularly, outlining expenditures and available funds per branch.
  6. Participates in the orientation and training of new programming staff and implements ongoing training and professional development sessions for staff related to the functions of the department.
  7. Leads department efforts to ensure the timely and accurate entry of system-wide library programming statistics. In conjunction with the age-level program managers, leverages data to analyze programs and make recommendations to improve program impact and participation.
  8. Assists with the entry, editing, and approval of library programs using the library’s online event management system, Localist.
  9. Attends meetings related to library program and project initiatives. Takes notes, tracks initiatives, and follows up with attendees to ensure that processes move forward and action items are completed accurately and in a timely manner.
  10. Serves as the lead administrator for the library’s Beanstack account. Enters library programs into Beanstack, provides staff training, and works with teams throughout the library system to create a seamless Beanstack experience for staff and customers.
  11. Prepares reports and presentations related to the work of the Programs team for internal and external customers and stakeholders.
  12. Collaborates with other divisions and departments including Collection Management, Institutional Advancement, Marketing, and Systems to further the library’s mission and strategic plan.
  13. Schedules and assists with programs and outreach activities, as needed.

Minimum Qualifications:

  1. Master’s Degree in Library or Information Science from an ALA-accredited program.
  2. Three years of experience with project management and developing and facilitating staff training programs for library systems.
  3. Experience using Google Workspace and Microsoft 365.
  4. Physical Requirements: Physical exertion such as standing; or recurring activities such as bending, crouching, reaching; pushing loaded book trucks; or recurring lifting of moderately heavy items such as boxes of books or journals.

Preferred Qualifications:

  1. Proven experience and success using library and project management software/applications including: Beanstack, BLUEcloud Analytics, Localist, Orangeboy, Tableau, and Trello.
  2. Bilingual skills are highly desired.

  1. Belief in and understanding of the importance of providing library services to customers in an urban setting.

  3. Ability to function both independently and as part of a larger team.
  4. Excellent interpersonal and communication skills, including the ability to express oneself through verbal and written correspondence; a willingness to work collaboratively; and the ability to create and present information in group and individual settings.
  5. Ability to remain poised and flexible in a demanding or fast-paced work environment.
  6. Experience in establishing collaborative relationships with library colleagues as well as a variety of municipal and non-profit agencies and organizations, especially those serving the needs of diverse individuals in an urban setting.
  7. Ability to resolve problems and conflict with diplomacy and discretion.
