Key Responsibilities
- A/R billing/collections, A/P processing/handling for separate entities and various vendors.
- Handle contracts processing and projects set-up in Deltek System.
- Process consultant invoices in accordance with contract rates and policies.
- Handle follow-up and collection of outstanding Accounts Receivable invoices on an as-needed basis.
- Write off any uncollectible receivables, labor or expenses as directed by upper management.
- Verify and investigate discrepancies for client/vendor/consultant accounts.
- Communicate with other team members and clients about billing discrepancies and questions.
- Set-up new vendor in Deltek System and maintain up-to-date records.
- Set-up and process online payments via bank wire/ACH/transfers (Puerto Rico Bank account).
- Handle AP vouchers, AP disbursements, and dummy checks entries/processing.
- Handle deposits/cash receipts entries/posting in Deltek System.
- Collaborate with other team members/departments to support financial reporting.
- Documenting all activities in a clear and concise manner utilizing the appropriate systems and in accordance with established procedures.
- Support with other month-end close activities such as reconciliation and variances explanations for Accounts Receivable accounts or project reports.
- Provide year-end support for auditor requirements, which may include research and reconcilement
- Handle Puerto Rico Income tax withholding for professional services on an as-needed basis.
- Obtain updated government certifications for Puerto Rico office's proposals on an as-needed basis.
- Handle Puerto Rico Sales and use Tax reports, returns and payments on an as-needed basis.
- Assist with special projects as requested on an as-needed basis.
Minimum Qualifications
- Minimum 5+ years of accounting or finance experience.
- Project Accounting experience preferred (Experience in A/E or Construction Industry a plus).
- Proficiency in accounting software, Deltek (Vision/Vantagepoint) will be highly valued.
- Knowledge of Accounting Principles Generally Accepted in U.S.-GAAP.
- Knowledge of cash and accrual accounting methods.
- Strong Excel skill preferred, proficiency in Adobe, Outlook, PowerPoint, Word and 10 keys.
- Excellent organizational and communication skills.
- Highly self-motivated, self-directed, and attentive to detail.
- Strong problem-solving and problem analysis skills.
- Ability to prioritize/perform multiple tasks effectively and work with minimal supervision.
- Ability to analyze/reconcile accounts and make good decisions using sound, professional judgment.
- Fluency in English, both verbal and written, required.
