OVERVIEW

Works closely with clients, account management and agency functions to understand and define event, meeting and tradeshow objectives and desired outcomes. Primary point of contact for assigned events, meetings and tradeshows, both onsite and/or virtual. Responsible for events, meetings and tradeshows through the development and implementation of strategy, delivery against objectives and execution of logistics, while working effectively with clients and internal colleagues. Responsible for all program planning and execution, while providing a high-level of customer service for all events, meetings and tradeshows.

The ideal candidate will have proven success in managing large-scale events or meetings, strong vendor management and budget oversight experience and leadership or supervisory experience in coordinating diverse teams.

Position is integrated within the Curious Plot Public Relations + Reputation Management function. Support for this role will come from members of the PR+RM team. This role will also be an active part of the PR+RM team and will support other public relations programs when time permits.

RESPONSIBILITIES & SKILLS
  • Responsible for all agency and client event contracts, management and coordination with vendors.
  • Responsible for sourcing, negotiating and securing hotel contracts and room management pertaining to meetings, customer events and tradeshows.
  • Manage, source and secure all vendor and contractor relationships (outside event management, audio visual, production, entertainment, IT/internet, photographer, printer, security, shipping, translation, transportation, F&B) for assigned tradeshows and events.
  • Manage insurance, permits and licensing needs for tradeshows and events.
  • Partner with event owner to set event/tradeshow strategy, align on KPIs and determine material needs for shows including booth signage, VIP event coordination and management, pre- and post-show communications and program agenda.
  • Coordinate with other public relations team members and paid media team to review sponsorship and media opportunities for all events.
  • Coordination with account management and public relations on the development of session scripts and speaker presentations (as required).
  • Partner with project management and other functional teams to ensure all creative assets, collateral and other materials are created and delivered for each event/show.
  • Collaborate closely with the Creative + Experience team to ensure visually engaging and impactful event delivery, and as appropriate integrates with in-market campaigns.
  • On-site management of tradeshow booths, customer meetings, media and customer VIP events, including set up and tear down.
  • Manage, facilitate and utilize online meeting platforms.
  • Lead and participate in client and internal meetings, including status meetings, pre-program walkthroughs, onsite meetings, and post-program debriefs.
  • Partner with project management and account management in managing meeting/event/tradeshow budgets, project plan/timelines and all deliverables.
  • Oversee all events to ensure adherence to all Curious Plot events best practices guidelines.
  • When time allows, support public relations as a practitioner in media relations and/or influencer management work.
EDUCATION & EXPERIENCE
  • Bachelor's degree, preferably in hospitality, public relations/event planning, marketing, business, or communications
  • 7-10 years of experience in event management, meeting planning, public relations and hospitality.
  • Proven track record of planning and implementing successful meetings & events
  • Experience as a public relations practitioner including media relations and/or influencer management
  • Industry certification, such as the Certified Meeting Professional (CMP) or Certified Special Events Professional (CSEP)*

BENEFTIS & COMPENSATION

The pay range is $80,000 - $115,000

Pay is based on several factors which vary based on position. These include labor markets and in some instances may include education, work experience and certifications.
