Job Description:
BUCK is seeking a Freelance Studio Assistant with the potential to transition into a full-time, staff position for our New York Studio located in Industry City, Brooklyn. This is a full-time, onsite position, Monday through Friday, 9:30 AM to 6:30 PM, with a 9:00 AM start on Thursdays for breakfast prep.
The Studio Department is responsible for the day-to-day operations and maintenance of a busy creative studio. They are also the primary facilitators for building our inclusive community through cultural events and initiatives.
This role will assist the Studio Manager with tasks in the following areas:
Studio Daily Operations & Health and Safety Compliance
Planning & Execution of Studio Cultural Events
Please note: This role is part of our Operations department and is not connected to any position within BUCK's creative departments.
Studio Daily Operation Responsibilities:
Studio Front Desk Services
Act as the first point of contact for welcoming guests, clients, and staff to the studio
Clearly communicate and coordinate with external guests and clients to provide directions and guest passes
Answer the studio phone line and manage the studio entrance.
Handle shipping and post office runs
Receive and unpack studio deliveries
Set up and Scheduling of meeting rooms for staff and clients
Ordering lunch for staff meetings
Studio Maintenance & Repairs
Report and document maintenance and repair needs to the Studio and Building management
Source and book external contractors for studio repairs
Support management with budgeting, invoicing, and financial record-keeping
Monitor and maintain inventory of office, restroom, and kitchen supplies
Open and close the studio at the beginning and end of the day
Studio Kitchens
Keep kitchen fridges and snacks stocked and well-organized
Place weekly food and beverage orders
Work with the studio cleaner to ensure spaces are clean and organized
Plan, set up, and clean up after happy hours and studio events
Health and Safety Compliance
Work with the Studio Manager & HR to ensure compliance with health and safety regulations within the studio environment
Maintain a safe working environment by implementing and enforcing safety protocols and procedures
Monitor the studio for potential hazards and coordinate maintenance and repairs as needed
Studio Cultural Event Responsibilities:
Creating engaging studio events is one of the most important and fun parts of this role. Examples of past events include pumpkin carving and plant care and clay workshops.
Collaborate with the Studio Manager to plan and execute fun, creative events
Source food and supplies for cultural events
Decorate the studio for special events and holidays
Complete setup and cleanup for Thursday studio breakfasts, company lunches, happy hours, and seasonal events
Design event posters, RSVPs, and communicate events to staff in a fun, friendly manner
Create engaging posts and posters to celebrate staff birthdays, holidays, etc., on Slack
Document the process of events and actively participate in event retrospective meetings
Work with the IT department to set up any tech needs for meetings or events
Requirements:
Minimum of 1 year of experience as a studio/office assistant in a customer-facing role or creative Studio/Office environment
Strong hospitality skills with the ability to connect well with people; warm and approachable
Excellent organizational and time management skills—documentation and spreadsheets are your communication tools
Excellent communication and interpersonal skills
Strong proficiency with G-Suite, Microsoft Office, and Slack
Experience in administrative and financial management principles
Excellent attention to detail and ability to multitask with ease
Proactive and forward-thinking
Creative and resourceful

Compensation:
This position will start as freelance with the potential to convert to fulltime. Below are the salary and benefit expectations if this were to convert:
Salary Band: $65-80k annually
