JOB PURPOSE / POSITION OVERVIEW
The Proposal Specialist will support all aspects of the proposal design and development process. This position reports to the Proposal Manager and will work collaboratively with the rest of the business development and marketing team. Working hand-in-hand with operations leaders, project management, estimators, and field supervision, the Proposal Coordinator will help to strategically position Haydon Companies to win qualifications-based opportunities.
DUTIES / RESPONSIBILITIES
- Collaborating with the Proposal Manager, marketing staff, and other employee-owners and departments to develop, organize, design, and produce high-quality Statements of Qualifications and interview presentations to win qualifications-based work.
- Attending and contributing to internal proposal kick-off meetings, milestone reviews, and post-submission activities.
- Collaborating with technical experts and developing proposal graphics and content.
- Tracking the collection of forms, information, and data required for each pursuit.
- Designing page layouts, creating informational graphics, and editing text for proposals for qualifications-based work.
- Collaborating with Marketing Coordinators, graphic designers, and/or outsourced (contracted) visual communication specialists to develop informational graphics and videos to support proposal and interview content.
- Managing a catalog of pursuit materials including: resumes, project descriptions, technical writing, business development collateral, etc.
- Conducting research, tracking analytics, and creating marketing-related reports.
Submitting public records requests and acquiring debrief materials (scoring and ranking data and competitor's Statements of Qualifications and interview slides) to share with the team and analyze how to improve our efforts in the future. - Maintaining a wide range of data via our Customer Relationship Management (CRM) system.
- Documenting field work through photography and videography with a marketing and branding focus.
- Editing, organizing, and maintaining a database of project photos and videos.
- Coordinating and assisting with the company's networking, public relations, and business development efforts including participation in professional, client, and community organizations, associations, and events.
- Perform other duties or special projects as assigned.
- Bachelor's degree in marketing, communications, or a related field (preferably in the Architecture/Engineering/Construction industry).
- 1+ years of marketing and leadership experience in B2B professional services.
- Ability to leverage a network of clients and relationships.
- Understanding of A/E/C industry terminology and procedures.
- Proficient with Adobe Creative Suite (InDesign, Photoshop and Illustrator) and Microsoft applications.
- Excellent writing and editing skills, with the ability to craft clear, concise, and persuasive content.
- Exceptional organizational skills and attention to detail to managing multiple projects simultaneously.
- Proficiency in proposal management software, MS Office Suite, CRM, and other relevant tools.
- Understanding construction industry standards, regulations, and best practices.
- Excellent interpersonal and communication skills to collaborate with stakeholders at all levels.
- Office work environment with frequent travel to job sites, trade shows, client events, groundbreaking events, etc..
- Work is performed both independently and with the team to ensure that internal and external stakeholder requests are met.
- Ability to convey detailed and accurate instructions and information verbally.
- Ability to hear with or without correction for receiving and interpreting detailed information.
- Capability to push, pull, lift, reach, and carry at least 10 pounds, occasionally lifting/moving up to 20 lbs. with or without assistance.
- Visual acuity with or without correction for reading documentation, analyzing data, and using electronic devices.
- Use of fingers and hands for operating a computer or other electronic devices
- Occasional stooping, kneeling, and crouching may be required.
- Ability to wear required PPE on job sites.
