Overview

The Media Billing Associate works in Media Operations within the Consumer Communications (C2) Department serving as the day-to-day liaison across internal Saatchi teams in this department.

This person is passionate about the work they produce, organized, detail oriented, and able to work collaboratively and independently depending on the project. They are always actively identifying where their help is most needed to accomplish team objectives, meet deadlines, and achieve performance KPIs.

This role also requires someone who is a problem solver, critical thinker and is constantly evaluating processes to both streamline and improve for the greater team and outcome.

The Media Billing Associate will report directly to the Media Manager – Media Budgets.


Responsibilities

Roles and Responsibilities include:

  1. Manage and distribute Cross-Tier budgets to clients and ensure they are accurate and timely every month.
  2. Twice a month, update crucial budget and billing information that informs clients how much has been billed in the fiscal year, and how it matches with the current budget.
  3. Work with the Media Manager – Media Budgets to co-manage the National Ad Serving budget by tracking the monthly invoices that come in.
  4. Work with the Media Coordinator to ensure vendor invoices are cleared by all billing deadlines. This includes collecting the invoices from the vendors, ensuring they are accurate and compliant, and properly sent to our Resources department with all pertinent invoice details so they can be cleared.
  5. Monitor payment details and remittance to ensure cleared activity is being paid out to vendors timely, as well as update any changes to vendors, and create new vendors in the system when necessary.
  6. Knowledge of media platforms and tools such as Prisma and Media Ocean.
  7. Work with the Media Coordinator and Media Manager – Media Budgets with credit invoices and proper credit reconciliation.
  8. Set up production estimates and ensure they contain all pertinent details, and they are signed by clients.
  9. Work with the Media Coordinator to manage the RNO (Run Not Ordered) report by working with Resources to address invoices that are not entered in our system, as well as handle any discrepant or missing invoices that show up on the report.
  10. Work with the Media Coordinator on campaign creation and set-up, ensuring that all campaign requests from our media teams are being properly entered into the billing system.
  11. Develop and maintain strong professional relationships internally (cross departments/client) and externally (media partners/vendors).
  12. Tasks or projects to support internal and/or client requests which may not be outlined above.

Qualifications

  1. Detail oriented: ability to work in a fast-paced environment, taking on multiple projects at once and completing them accurately and on time with a high degree of accuracy.
  2. Collaboration: ability to successfully collaborate and information share with many team members in multiple offices across different time zones.
  3. Data oriented: ability to work with media partners and pull performance reports to analyze data.
  4. Resourcefulness: creatively leverage resources to proactively solve problems and get the job done.
  5. Knowledge of the media landscape, industry terms and media calculations.
  6. Excellent verbal & written communication skills.
  7. Strong interpersonal skills.
  8. Excellent organization and time management; ability to prioritize workload and multi-task.
  9. Ability to work extended hours as required.
