Client Overview : Our client, a creative advertising agency, is seeking an Executive Assistant to join their team.

Role Overview : You will play a pivotal role in supporting senior executives, ensuring the smooth and efficient operation of the agency. You will act as a liaison between executives, clients, and teams, and manage critical administrative functions. This position requires a proactive, organized, and detail-oriented individual who thrives in a fast-paced, dynamic environment.

Executive Assistant Responsibilities: Schedule and manage appointments, meetings, and travel arrangements for senior leadership. Prioritize and resolve scheduling conflicts. Handle all incoming and outgoing communications (calls, emails, etc.) on behalf of executives. Filter messages and respond or redirect as necessary. Arrange travel itineraries, accommodations, and transportation for executives, ensuring all details are taken care of. Prepare meeting agendas, presentations, and relevant documents. Ensure executives are prepared with all necessary materials for internal and client meetings. Coordinate and communicate with clients, agencies, and vendors on behalf of executives, ensuring timely follow-ups and smooth execution of projects. Process and track expenses, including corporate credit card transactions and vendor invoices. Provide administrative support on special projects, ensuring timelines are met and tasks are completed. Work cross-functionally with different departments (creative, accounts, media, etc.) to support the execution of agency projects. Handle sensitive information with the utmost discretion and professionalism.

Executive Assistant Qualifications: At least 3-5 years of experience in an executive assistant or administrative support role, preferably in a fast-paced advertising, media, or creative environment. Bachelor’s degree in business administration, communications, or a related field (preferred). Excellent organizational and time-management skills, with the ability to manage multiple tasks simultaneously. High attention to detail and ability to work under pressure in a dynamic environment.
