JOB SUMMARY
The Library Supervisor position provides supervisory and administrative work, including servicing the public and managing the day-to-day operation of a small branch or a large department(s) within the Live Oak Public Libraries system. This position may manage a small team of employees at a small branch within the system, or may manage departmental staff at a large branch within the system. The person holding this position assists with oversight or directly oversees building resources in order to achieve stated library goals and objectives for a specified library location.
An employee assigned to this classification, under direct supervision, performs supervisory work at a small sized branch library OR oversees a large department within a larger library; supervises the work of library support staff; performs related duties as assigned.
The Library Supervisor handles a wide variety of daily, operational details and aligns branch initiatives with LOPL strategic plans with oversight from their direct supervisor.
ESSENTIAL JOB FUNCTIONS
- Oversees a small team of employees at a specified library or library department in the effective management of day-to-day operations. Delegates tasks, fields questions and complaints, and gathers data to prepare supporting communications and reports.
- May serve as a location's primary contact with other Libraries or Library departments.
- Assists with development, coaching and training of branch staff. May set individual performance measurements for staff and hold them accountable. Responsibilities include managing, branch-level orienting and evaluating.
- Plans and implements adult and programming activities for specified branch location with oversight from administrative staff.
- May participate in outreach initiatives within the local community.
- Communicates system-wide initiatives to staff and customers. With oversight from the direct supervisor, coordinates objectives at the individual library or department level.
- Communicates branch needs or assists with communicating branch needs for resources and personnel required to meet established goals and objectives.
- Assists with problem-solving at the local branch/department level and owns customer complaints until issue resolution is reached.
- With guidance from direct supervisor or admin-level staff, interprets and communicates LOPL policies and procedures to staff and customers.
- May assist with coordination of paperwork and documentation to assure proper fiscal and regulatory control. Assists in preparation and management of the library deposits.
- Assists in the delivery of services to the customer at all service points. Maintains personal skills to assure quality of service in areas of Library collection, technology, reference, and circulation.
- Utilizes computer applications and library equipment, maintains current knowledge of system-wide and location specific procedures, processes, policies and operations. Utilizes e-mail, voicemail and other Library technology to maintain open channels of communication.
- Ensures that the building and grounds of the library are properly maintained, and elevates issues to administration in a timely manner.
- Prepares basic operational reports and statistics for the library branch.
- May attend local, state, and national conferences or meetings as required.
- May act as the point-of-contact for all supply orders for the library or department; assists with maintaining sufficient supplies and ensuring inventory is appropriate; elevates needs to supervisor or administration as necessary.
- May participate in community-wide projects with oversight from direct supervisor.

This position will supervise Circulation at the Bull Street location which will be the positions’ primary location.
ESSENTIAL JOB FUNCTIONS for Circulation @ Bull Street
- Plans, organizes, effectively supervises, and evaluates the work of others; effectively trains others in circulation procedures, ILS software, library services and use of automated systems, as well as set goals and priorities for the Circulation staff.
- Oversees the time management and approval for Circulation staff within the payroll system.
- Supervises Circulation staff and performs all duties associated with the circulation of library materials (checking in/out, issuing refunds, issuing new cards, distributing and collecting forms, entering information, resolving problems, accepting payments, withdrawing materials, sorting, packing, tagging, weeding, loading and unloading, shelf reading, replenishing supplies, preparing the department for opening/closing, etc.).
- Evaluates donated materials for addition to the collection; assesses materials in the collection, repairing or weeding out and discarding outdated, damaged, or other non-useful items per policy.
- Provides advanced level assistance on patron account issues as needed.
- Provides exemplary customer service to patrons by answering directional questions, providing reader’s advisory services, locating materials, processing holds requests.
- Ensures that the Circulation area is neat and orderly and monitors supply levels. Coordinates with the Library Manager/Director to order materials and places help-desk tickets when necessary for assistance, as well as incident report tickets.
- Collaborates with manager or directors on service coverage, process improvements, workflow analysis and service improvements. Identify and recommend best practices for circulation policies and procedures.
- Compiles information and statistics and submits reports as requested.
- Participates in department staff hiring, counseling and evaluation. Coordinates all disciplinary action with manager/director and HR.
- Oversees and conducts departmental training on new and existing processes to ensure accuracy and compliance.
- Keeps staff informed of library policies and procedures, provide direction, and problem solving.
- Ensures staff duties are performed properly and in a timely manner.
- Monitors the behavior of library patrons, handling standard issues or escalating to police when necessary. This may include the process of suspending patrons based on LOPL’s policy.
- At the Central Library location, participates in training new hires that are going through the Library Services Onboarding Program.
- Performs other related duties as assigned.
Qualifications
Education and Experience: Requires a Bachelor’s Degree in Library and Information Science or related field; five (5) years of directly related experience, including two (2) years of supervisory experience; or equivalent combination of education and experience.
Additional Requirements: Experience at staff development including setting clear objectives, providing challenging and stretching tasks and assignments, developing measures to monitor progress, and the use of effective feedback. Works with personnel that need further development.
Licenses or Certifications: Possession of Georgia State Certification of Librarians license preferred. Valid driver’s license and insurability required. Must have transportation to be able to travel between library locations.
Special Requirements: Must be able to work nights and weekends, stand for extensive periods of time during the workday, and perform duties at other library locations. An employee in this class must be physically able to operate a variety of job related machines and/or office equipment and be able to move or carry job related objects and materials.

PHYSICAL DEMANDS
Work is typically performed with the employee sitting at a desk, standing for extended periods, or bending/stooping. The employee must be able to lift and carry up to 50 pounds routinely, climb ladders, climb stairs, stand for extended periods of time, extended walking within and outside branch locations, reach, bend, and stoop. Full range of hand and finger motion is required for data entry purposes. The ability to distinguish color is required for network wiring purposes.

WORK ENVIRONMENT
Typical office/library environment. Some fluctuations in building temperature related to HVAC problems can cause uncomfortable periods of heat or cold. Some periods of elevated noise levels. Some stress related to the type of work being performed may be encountered e.g., pressure related to periods of high-volume activity and multiple demands.
The work week is a 40-hour work week. After hours and holiday availability, while rare, is required.
