What You Will Do (Please note this is an in-person position. Work from home option is not available):

  1. Manage GBG’s front desk and multi-line phone system.
  2. Provide a warm welcome to GBG guests and offer support for in-person visits from clients and vendors.
  3. Manage GBG’s meetings/events as needed including staff meetings and other company gatherings.
  4. Manage preparation of e-docs for staff meetings and other team meetings.
  5. Keep the GBG team well supplied through timely ordering of supplies, miscellaneous supply/grocery runs, and re-stocking kitchens.
  6. Assist Accounting team with client payments/bank deposits.
  7. Manage maintenance requests.
  8. Manage all postage, mailings, and overnight packages.
  9. Setting up workspaces for new hires and coordinating onboarding process.
  10. Assisting the Executive team as needed (including occasional travel arrangement needs).
  11. Assisting teams with special projects as needed.
  12. Assist with other projects and needs as requested.

What we need from you:

  1. Ability to professionally handle a multi-line phone system.
  2. Experience working in an office or business setting.
  3. Great attitude; team player and effective multi-tasker.
  4. The Publishing Assistant has a direct impact on our clients’ experience, so the right person is naturally positive, likes to smile and has great customer service skills.
  5. A love for reading and genuine interest in books and the publishing industry.
  6. Detail-oriented and accurate; super reliable and punctual.
  7. An ability to anticipate needs and take the initiative.
  8. Strong writing and verbal skills.
  9. Ability to prioritize and complete a multitude of time-sensitive tasks in an accurate, efficient, and collaborative manner.
  10. A good sense of humor.
  11. You must be able to lift 25 lbs.
  12. You must have reliable transportation (needed for required errands).
