We are seeking a highly organized, creative, and driven Event Planner/Business Development Coordinator to join our growing team at ICHQ. In this role, you will be responsible for planning, coordinating, and executing a wide variety of events that align with the firm's business development goals, including community outreach events, business-to-business (B2B) engagements, Continuing Legal Education (CLE) seminars, internal staff events, and industry conferences such as a Claims Summit for the storm industry. Your role will be instrumental in ensuring our events run smoothly, are strategically aligned with business goals, and leave a lasting positive impression on our clients, partners, and staff.
Specifically, you will:
Event Planning & Coordination:
- Organize and execute a variety of events, including community events, B2B networking opportunities, CLE seminars, staff parties, and large-scale conferences.
- Develop event concepts, themes, and agendas that align with the firm's objectives and target audience.
- Coordinate logistics including venue selection, vendor management, catering, audio-visual requirements, transportation, and any other event needs.
- Prepare and manage event budgets, ensuring cost-effectiveness while maintaining high-quality standards.
- Collaborate with internal departments (e.g., marketing, legal teams) to ensure all messaging and branding is consistent across events.
- Oversee the guest list, invitations, RSVPs, and communication with attendees.
- On-site event coordination, including managing timelines, staff, and vendors to ensure smooth execution.
Business Development Support:
- Assist in identifying opportunities for the firm to engage with new and existing clients through events.
- Support relationship-building activities with clients, prospects, and industry leaders.
- Track event performance, gather feedback, and provide post-event analysis to improve future initiatives.
Project Management:
- Develop detailed event plans with timelines and budget projections.
- Track and report on progress of all event-related tasks and deadlines.
- Ensure all events comply with legal and corporate guidelines.
- Organizational Skills: Ability to manage multiple events, prioritize tasks, and meet deadlines.
- Creativity: Strong ability to develop unique event concepts and experiences.
- Communication: Excellent written and verbal skills for client and vendor interaction.
- Problem-Solving: Proactive approach to resolving challenges before or during events.
- Business Development Focus: Experience identifying growth opportunities through events.
- Adaptability: Able to adjust quickly to shifting priorities in a fast-paced environment.
- Experience: 1-2 years in event planning or business development.

- Salary: $45,000.00 - $52,000 per year
