Job Summary

The Event Assistant supports the planning, coordination, and execution of events to ensure they run smoothly and meet organizational goals. This role involves a mix of administrative duties, on-site support, and creative problem-solving to deliver exceptional experiences for attendees and stakeholders.
Key Responsibilities
  • Event Coordination:
    • Assist in the planning and organization of events, including meetings, conferences, trade shows, and social gatherings.
    • Coordinate logistics such as venue selection, catering, transportation, and accommodation arrangements.
  • Administrative Support:
    • Maintain event schedules, timelines, and budgets.
    • Prepare event materials, such as invitations, agendas, and attendee lists.
    • Communicate with vendors, clients, and other stakeholders.
  • On-Site Management:
    • Support event setup, registration, and teardown.
    • Provide assistance to guests and ensure the event stays on schedule.
    • Address any issues that arise during the event promptly.
  • Post-Event Tasks:
    • Collect feedback from attendees and prepare evaluation reports.
    • Assist in reconciling budgets and processing invoices.
Qualifications & Skills
  • High school diploma required; a degree in event management, marketing, or a related field is a plus.
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite and event management software (e.g., Eventbrite, Cvent).
  • Ability to work under pressure and meet tight deadlines.
