Overview
Provides administrative support and project assistance for the Communications & Marketing (C&M) department.
Responsibilities
Administrative support (50%)
Assists in time management for the Executive Directors (3) by managing calendar activities and coordinating and scheduling meetings. May also support similar administrative needs of the C&M directors.
Supports the C&M leadership team by managing onsite meeting logistics (e.g., securing meeting space; organizing agendas and taking meeting minutes; assisting in supply orders and development of advance meeting materials).
Assists with Accounts Payable invoicing and purchase orders for the Communications and Marketing team.
Provides support to the Executive Assistant (EA) for Communications & Marketing, including back-up administrative coverage, invoicing and other duties.
Manage marketing collateral (25%)
Supports the production of promotional materials such as brochures, posters, and flyers.
Maintains inventory of brochures, marketing collateral, and branded promotional items. Ensures DH locations receives requested materials.
Project coordination and support (25%)
Supports the C&M team by conducting desk-top research, compiling information, and presenting results to key team members.
Assists in the identification and up-keep facts, figures, recognitions and awards to be used in Communication & Marketing assets.
Assists in creating slide decks and other presentation materials.
Performs other duties as assigned.
Qualifications
Bachelor’s degree in marketing or business communications OR Associate’s degree with 2 years of experience in marketing or business communications.
Excellent written and verbal communication skills
Self-motivated, creative, proactive, and a proficient multitasker
Works well with minimal supervision while able to meet tight deadlines with accuracy and attention to detail
Proficient in Outlook, Word, Excel, and PowerPoint
Required Licensure/Certifications
