Responsibilities
- Event Planning & Coordination:
- Plan, organize, and execute business development events, including customer appreciation events, project milestone celebrations, and networking opportunities.
- Coordinate employee events at job sites, such as team-building activities, safety celebrations, and holiday gatherings.
- Develop event plans, timelines, and budgets to ensure successful execution.
- Travel Coordination:
- Arrange travel logistics for customers, employees, and vendors, including transportation, lodging, and itineraries.
- Ensure travel plans align with company policies and event schedules.
- Vendor Management:
- Source and manage vendors, including venues, catering, entertainment, transportation, and equipment rentals.
- Negotiate contracts and maintain positive vendor relationships to optimize costs and service quality.
- Event Promotion & Communication:
- Collaborate with the marketing team to create invitations, promotional materials, and internal communications.
- Maintain an event calendar and communicate upcoming events with internal and external stakeholders.
- Event Execution:
- Serve as the primary contact during events to ensure all details are managed smoothly.
- Address any issues or challenges during events to maintain a positive experience for attendees.
- Post-Event Evaluation:
- Collect feedback from attendees to assess the success of events and identify areas for improvement.
- Prepare post-event reports, including financial summaries and key takeaways.
Qualifications
- Education & Experience:
- Bachelor’s degree in Event Management, Marketing, Business Administration, or a related field (preferred).
- 3+ years of experience in event planning, project coordination, or a related role. Experience in the construction or industrial sector is a plus.
- Skills & Abilities:
- Strong organizational and time management skills with the ability to manage multiple projects simultaneously.
- Excellent communication and interpersonal skills to build relationships with customers, employees, and vendors.
- Creative problem-solving abilities and attention to detail.
- Proficiency in event planning software, Microsoft Office Suite, and travel management tools.
- Additional Requirements:
- Attendance at all offsite events is not required if the event can be coordinated remotely, but some travel may be required
- Flexible schedule, including occasional evenings and weekends for events.
- Valid driver’s license and reliable transportation.
