Position : ADMINISTRATIVE ASSISTANT FOR DEPARTMENT OF MUSIC AND LITURGY Date Revised: January 15, 2025 Reports to : Director of Music and Liturgy Location : Good Shepherd Catholic Community 1000 Tinker Rd Colleyville, Texas 76034 www.fwdioc.org/employment General Position Summary: The Administrative Assistant for the Department of Music and Liturgy is responsible for information management in all areas related to music and liturgy. Principal Accountabilities: Liturgy - Assists with purchasing and maintaining of liturgical supplies. Assists with the preparation of special liturgical events; including the needed worship aids and setup/breakdown of liturgical spaces. Assists with maintaining Liturgical plans in Planning Center Online Services program. Assist with scheduling of wedding anniversary blessings Prepare Readers binder of entrance and communion antiphons for Mass Assist with preparing, printing, and distributing liturgical books for weekend Masses and special liturgies Keep updated digital file of Mass counts Assist with collection of OCIA Baptismal certificates Attend and help prepare, as necessary, liturgical ministry lead meetings Music Ministries - Print hymn packets for Adult Choir members for weekend Masses, special liturgies, and funeral Masses Print Cantor packet for weekend Masses, special liturgies, funeral Masses, and wedding Masses Maintain GSCC choral library, oversee volunteers as needed Assist with purchasing music and supplies needed for Music Groups General responsibilities - Attend parish staff gatherings and Music and Liturgy team meetings as scheduled. Attend continuing education opportunities related to responsibilities. Responsible for all other projects, tasks, etc., as assigned. Typical Decisions and/or Recommendations Made in This Position: Will make decisions on timing of replenishing supplies. Will decide on vendors from a recommended vendor list. Supervision Given and/or Received: Director of Music and Liturgy Liturgy Coordinator Internal Contacts: Director of Music and Liturgy Liturgy Coordinator Parish staff External Contacts: Liturgical ministry leads Working Conditions and/or Physical Requirements: This position works in a typical office environment, and the candidate will be subject to stress due to the evolving and quickly expanding business needs, tight deadlines, and heavy workloads. This position's work schedule is during office hours, Monday through Friday Some hours may be required during the evening and/or weekends This position is a clerical position, with very little interaction with day-to-day parishioners Travel Requirements: No travel required Education and Experience Preferred: High School Diploma or G.E.D. Computer proficiency in Excel, Outlook, Word, and PowerPoint. Knowledge and Skills Preferred: Good interpersonal/communication, organizational and time management skills. Good listening skills and ability to interact and respond effectively. Must be able to work on multiple projects simultaneously so all projects are completed timely and accurately with attention to detail. Ability to maintain confidentiality as well as handle highly confidential information. Practicing Catholic in good standing.
