Hennebery Eddy Architects seeks a Studio Manager to oversee the day-to-day operations of our studio, ensuring that it functions smoothly by managing administrative tasks, providing staff support, restocking office supplies, and maintaining office housekeeping, all while creating a positive work environment for employees. To be successful in this role, you should be proactive, self-starting, well-organized, reliable, have great time management skills, and be able to act independently. We are looking for an individual that takes pride in creating an exceptional first impression and maintaining a welcoming and professional office environment for both external and internal clients. This position is located in our Portland, Oregon studio and requires in-person attendance Monday through Friday from 8:00 am to 5:00 pm.
Responsibilities
- Front desk reception, greeting guests, and answering the phone.
- Office hospitality throughout the day including making coffee, resetting conference rooms, setting up and breaking down meetings, community food replenishment, and anything else that contributes to a pleasant, clean, and organized office environment.
- Manage office-wide event calendar; plan, schedule, and execute quarterly all-staff lunches and internal gatherings.
- Coordinate vendor presentations.
- Order and stock supplies.
- Office housekeeping including dishwasher management, restocking clean dishes and utensils, and oversight of refrigerator cleanliness.
- Point of contact with landlord and outside vendors for coordination of general office maintenance such as carpet cleaning and appliance repairs.
- General staff support including mail sorting, delivery coordination, and small equipment check-outs. This role is the go-to person for office administration needs and will need to manage various ad hoc requests on a regular basis.
- Build relationships with colleagues and foster a positive work environment.
- Assist with new hire onboarding as needed.
- Attend Monday staff meetings; prepare and electronically distribute meeting minutes.
- Gather receipts and enter corporate credit card transactions into our accounting software.
- Coordinate on- and off-site file archiving.
- Take pride and ownership of the responsibilities of this role and the impression it portrays of our firm.
Qualifications
- Proven experience in a similar office administration role.
- Customer service oriented.
- Strong written and verbal communication skills for effective interactions with employees, clients, and vendors.
- Use sound judgement to make decisions independently and efficiently.
- Demonstrate situational awareness.
- Ability to quickly switch tasks if the need arises and based on prioritization.
- Be proactive and maintain an organized office environment.
- Strong time management and multitasking abilities.
- Proficiency in Microsoft Office Suite.
- Experience using a multi-line "soft" phone system a plus.
- Able to lift boxes and files up to 50 pounds.
- Minimum of three references preferred.
