Full Job Description
We are looking for an experienced, mature, self-starter for Community Manager at one of our beautiful properties in San Antonio to add to our work family team. We are a small-sized regional property management company with a fun and growing environment. Be on the rise with us.
The Community Manager acts as the face of the company to the community, responsible for overseeing daily operations. The Community Manager is responsible for managing daily operations of the property, including, resident (current and potential) interactions, marketing, leasing, move-ins, move-outs, service issues, vendor management, collections, and general property curb appeal.
ESSENTIAL JOB FUNCTIONS:
- Supervision, maintenance, and operations of the property is within the constraints company policies/procedures and approved budget.
- Maintaining occupancy goals and sales goals.
- Assuring that a maximum level of customer service is rendered to residents.
- Must have Rent Manger or similar software experience (Preferred)
- Park curb appeal is a priority as stated in the Community Rules
CUSTOMER RELATIONS:
- Receive, investigate, and resolve resident concerns. Meet with new residents and thoroughly explain their rights and responsibilities. Where applicable, coordinate social programs or other activities.
- Perform daily grounds inspections. Identify any tenant violations of Community Rules, issue violations and coordinate with maintenance staff to ensure the discrepancy is immediately corrected and/or coordinate work and charge tenants.
- Walk vacant units and tour park each morning; ensure model is clean and orderly.
- Draft and deliver violation notices per the Community Guidelines.
- Coordinate prospect events or tenant gatherings.
PROPERTY MANAGEMENT:
- Ensure daily Rent Manager pricing is accurate. Review lease compliance reports for accuracy. Ensure all sign in sheets and other paperwork is attached in Rent Manager immediately upon guest card being created. **Must have multi-family software experience*(Yardi, Appfolio, Rent Manager)
- Ensure all daily activity in property entered into RM; to include move ins, move outs, renewals, notices and new leases, service issues and violations.
- Perform move-in and move-out inspections.
- Conduct weekly calls with upper management.
- Collection of monthly receipts: Establishing and maintaining a solid collection policy in conformance with applicable local, state, and federal rules and regulations, and company policies.
- Maintain current delinquency less than 5% by the 15th of each month of billed revenue; actively pursue all aged delinquency. Oversee preparation and delivery of 3 & 10 day notices. File delinquent tenant’s timely evictions with the local JP when the 3/10 day notices are not satisfied.
- Conduct marketing analysis as directed by upper management. Draft and implement marketing plan as directed by upper management.
- Reports and paperwork: Preparation of all required and assigned reports, on a daily, weekly, or monthly basis as assigned. Ensure all reports are accurate and submitted prior to deadlines.
- File maintenance: Establish and maintain complete files of correspondence, documents, and unit maintenance in Rent Manager.
EXPENSE MANAGEMENT:
- Manage purchases required to maintain normal operations.
- Complete periodic spare part/appliance inventory audit.
- Approve all purchases and verify that all supplies or services are ordered properly.
- Receive and review all purchase quotes (services and material), issue purchase orders, receive material/services against the purchase order and submit invoices for payment to upper management.
- Review expenses on a monthly basis and take the necessary steps to maintain costs within the budget.
- Other duties as assigned.
EMPLOYEE RELATIONS:
- Daily supervision of all on-site personnel.
- Maintain employee files, attendance records, performance records and corrective action records.
- Must establish a comprehensive training and development program to subordinates to include but not limited to:
- Keep track of all service issues in RM and responsible for timely execution of all service issues by maintenance staff. Check in and out procedures with maintenance staff.
- Maintain Vendor relations and inspect their work before closing service issues or processing vendor invoices.
