Summary
The Sales and Marketing Coordinator is a key member of the destination marketing and communications team. This position is responsible for identifying and targeting groups capable of generating a positive economic impact through conferences, meetings, retreats, reunions, and sporting events through implementation of short and long-term sales and marketing strategies. The position requires a thorough knowledge of destination meeting/conference venues, lodging properties with group capacity, municipal facilities for rent, and sports fields for tournament play.

Essential Duties and Responsibilities

  • Develops and executes a targeted group sales strategy detailing tactics for identified target markets.
  • Develops and reports monthly and quarterly group sales activity based on specific markets.
  • Develops monthly KPI report on sales activity, prospecting, lead generation, activations, groups or sports tournaments booked.
  • Maintains Economic Impact Report identifying room nights, sponsorships/incentives, services required, and estimated economic impact.
  • Coordinates SMERF market (social, military, education, religious and fraternal) market tactics with the Sales and Marketing Specialist (primarily private events and visitor services).
  • Develops sales leads to attract conventions and meetings locally and statewide through sales calls, database marketing, trade shows, cooperative promotions, and public relations.
  • Maintains an active prospecting effort including follow up on all leads with hotels, convention center, and other municipal facilities that impact the hotel/motel tax.
  • Develops working relationships with local hospitality partners and services.
  • Maintains and updates Temple and Bell County history, current and new group and sports facilities/venues, and industry trends.
  • Identifies and maintains awareness of competitive markets and facilities.
  • Represents the destination at targeted travel trade shows, conferences, and industry events with the goal of increasing group room night bookings.
  • Maintains and updates CMS/CRM records, website appropriate email database for use in e-newsletters.
  • Answers inquiries regarding the destination, keeps record of inquiries, and converts inquiries to room nights.
  • Responds to inquiries and RFPs (Request for Proposal) generated through the Discover Temple website.
  • Acts as local expert to groups, provides planning assistance using local partners and services.
  • Conducts and/or coordinates venue and client site inspections (meetings/conferences and sports).
  • Markets actively the sports fields and amenities for tournament play.
  • Liaises with appropriate Parks and Recreations department staff related to sports venue availability, bookings, sponsorships/incentives.
  • Assists with development of the Meetings/Conference and Sports/Tournament sponsorship/incentive program.
  • Develops content for sport/meetings pages on the Discover Temple website and print fulfillment materials.
  • Completes assigned tasks in the Destination Annual Marketing Plan.
  • Proofreads marketing materials.
  • Maintains and keeps current photo shot list.
  • Coordinates fulfillment bags/materials for incoming conferences and tournaments as requested.
  • Coordinates on-site ‘Hospitality/Concierge Table’ as assigned (manage the entire process including set-up, fulfillment materials, tear down, etc.).
  • Maintains contacts of local venues.
  • Develops and maintains ongoing stakeholder relationships with event organizers and ongoing visitor business stakeholder relationships (hotels, attractions, sports organizers, event organizers, group services vendors, etc.).
  • Provides guidance and support to the Sales and Marketing Specialist.
  • Coordinates potential involvement with off-site travel trade or consumer trade shows including organization, travel, set-up/tear down and follow-up.
  • Prepares ongoing reports for Destination Marketing Division Director.
  • Assists Destination Marketing function area and team with a variety of projects, events, and administrative support.
  • Participates in professional organizations and marketing/sales information groups to advance knowledge and network with other industry professionals.
  • Follows the city policies, procedures, and safety guidelines.
  • Performs other duties as assigned.

Minimum Qualifications

  • Combination of education or experience equivalent to a bachelor’s degree in Marketing, Advertising or related field.
  • Two (2) years of experience in content creation, marketing, outreach/engagement or other related area.

Preferred Qualifications

  • Bachelor's degree in Marketing, Public Relations, Business, Advertising, Mass Communication or related field.
  • Three years of experience in Sales Planning.

Certificates, Licenses, Registrations

  • Valid Driver’s License.
  • Industry credential such as Certified Destination Management Executive (CDME through Destinations International) or other related hospitality/tourism professional certification preferred (CMP, CTA, CAE, CTE, TDM, CASE, etc.).
